Job Description
CIP Construction is a national construction company delivering standout projects across Australia, as our Victorian operations continue to grow, we're looking for a proactive, organised, and people-focused Office Coordinator to be the go-to support for our Melbourne team.
n
This is a hands-on, high-variety role where no two days look the same, you will keep the office running smoothly, support our leaders, welcome new starters, coordinate events, and help create a workplace people enjoy.
n
About The Role
n
Reporting to the State Manager, you will take ownership of the day-to-day rhythm of the Melbourne office, working closely with our national team and your peers across other states, you'll help deliver a consistent, polished, and welcoming employee experience.
n
You will be responsible for:
n
n
Managing reception duties and welcoming visitors
n
Coordinating office supplies, equipment, facilities, and service providers
n
Maintaining a clean, organised, and qualified office environment
n
Coordinating meetings, team events, catering, and office functions
n
Managing travel bookings through the corporate travel provider
n
Processing invoices, tracking expenses, and supporting financial administration
n
Assisting with fleet administration, fuel cards, and e-tags
n
Coordinating IT requirements for new employees and project teams
n
Supporting onboarding activities for new starters
n
Maintaining office security access and IT asset registers
n
Providing diary management and administrative support to senior leaders as required
n

About You
n
You are the kind of person who spots what needs doing, keeps people organised, and brings calm, energy, and professionalism to a busy workplace.

You will bring:
n
n
Previous experience in an Office Coordinator, Office Manager, Team Administrator, Executive Assistant, or similar role
n
Strong organisational and time management skills
n
Excellent verbal and written communication skills
n
High levels of professionalism, discretion, and confidentiality
n
A proactive approach with strong problem-solving abilities
n
Experience managing competing priorities and deadlines
n
Intermediate Microsoft Office skills, particularly Excel
n
Experience with invoice processing or accounting systems (desirable)
n
Previous Executive Assistant experience will be highly regarded
n
