We have an exciting opportunity for a Facilities & Workplace Advisor to join our Perth Business Services team on a permanent, full-time basis.
This is a broad, hands‐on role responsible for delivering high quality facilities, records, and business centre services to our partners, staff, and visitors.
Operating at an advisor level, you will be expected to work with a high level of autonomy, exercise sound judgment, and take a proactive approach to the day‐to‐day running of your office - anticipating needs, driving issues to resolution, and acting as a trusted contact for our people.
Your Duties
As a Facilities & Workplace Advisor,



you will be a versatile and proactive team member involved in a broad range of duties including:
Facilities & Workplace
Act as the dedicated facilities advisor to legal groups and staff - fielding day‐to‐day queries, providing clear and practical guidance on space, maintenance, and workplace matters, keeping people informed of progress, and escalating to the Team Leader where required
Coordinate contractors for repairs and maintenance programs, ensuring works are completed on time and to standard
Support space management across the office including allocations, moves, locker and car park assignments
Coordinate WHS compliance activities such as workplace inspections and maintaining First Aid supplies consumable supplies
Records & Archive
Guide lawyers and staff on records retention, archiving and destruction decisions in line with firm policy
Proactively progress approved destruction batches
Handle archive retrievals, file movements, and day‐to‐day records queries in a timely and accurate manner
Business Centre & Mail
Deliver in‐house document production including printing, binding, finishing, and collation to a high standard
Coordinate and quality check document production handoffs to our third‐party providers
Manage all mail and courier operations accurately and on time, and maintain stationery and consumable stock
Process supplier invoices in line with firm procedures
Support printer fleet management,



troubleshooting faults and escalating where necessary
Use ServiceNow and Outlook to manage, track and close out day‐to‐day service requests
Proactively engage with AI tools and workflow automation as they are introduced, completing training and applying new tools to your work
Identify opportunities to improve processes and practices
Maintain accurate SOPs for your work area and support the onboarding of new team members

Experience in a facilities, records, or business centre role in a corporate or professional services environment
A proactive and curious mindset - you anticipate issues, follow through without prompting, and take pride in the standard of your work and solving novel problems
Ability to effectively triage and action work requests through workflow channels based on priority
Strong communication skills and the confidence to advise and liaise with internal and external stakeholders
Proficiency in Microsoft Office and genuine openness to digital tools and AI-assisted workflows
Excellent attention to detail and time management
A cooperative approach and willingness to support your broader team when needed
An ability and willingness to undertake physical and mobile work across the office
