The Role

As a Pre-Contracts Administrator, you will provide coordination and administrative support to our Sales and Commercial teams throughout the pre-contract, tender and project award process.

You will coordinate contract documentation, maintain registers and trackers, follow up actions, and assist with contract review packs, approvals and project handover documentation.

Working closely with Sales, Estimating, Commercial, Design and Project Delivery, you’ll help ensure contract-related activities are organised, progressed and completed accurately and on time.

Key responsibilities include, but aren’t limited to:

- Maintaining contract registers, action lists, document trackers and other pre-contract records.

- Assisting with contract review packs, approval documentation and tender submissions.

- Coordinating required inputs, contract departures, qualifications and tender documentation.





- Identifying missing information, outstanding actions and administrative gaps, and follow up with stakeholders.

- Maintaining accurate and current contract documents, schedules, clarifications and supporting records.

- Tracking Delegation of Authority approvals and provide status updates on contract progress and outstanding actions.

- Assisting with project award and handover documentation, including contract summaries, client correspondence and open items.

- Coordinating outstanding signatures, approvals and executed contract documentation.

- Supporting the transition of awarded projects from Sales into Delivery.

- Assisting with improving templates, registers, filing structures and pre-contract processes.

- Working collaboratively with Sales, Estimating, Commercial, Design, Delivery, Procurement, PMO and senior leadership.

- Escalating commercial, contractual or legal matters to the appropriate senior team member.

- Coordinate contract related correspondence with clients in conjunction with the Sales rep

- Check alignment between the contract and the Aquatec offer

- Track changes during negotiations

- Weekly ‘contracts in progress’ meetings

- Coordinate specialist reviews where required i.e. projects, insurance, subcontractors

- Prepare and coordinate management sign-off packs

About You

You are an organised, proactive and commercially aware administrator who enjoys working in a fast-paced environment and managing multiple priorities.

You have solid attention to detail, excellent follow-up skills and take pride in keeping information accurate and up to date.

You may have experience in administration, contracts administration, project administration, sales support,



bid coordination or a similar role. Experience in construction, infrastructure, utilities or engineering would be advantageous but is not essential.

Most importantly, you are practical, professional and willing to learn, with an interest in developing your career in contracts and commercial administration.

To be successful in this role, you will have:

- 2–3 years’ experience in administration, contracts administration, project administration, sales support, bid coordination or similar.

- A relevant qualification or experience in business, project or contracts administration.

- Strong organisational skills and the ability to manage competing priorities and deadlines.

- High attention to detail and strong document control and record-keeping skills.

- Strong written and verbal communication skills.

- The ability to confidently coordinate and follow up actions across multiple stakeholders.

- Confident use of Microsoft Office and shared document systems.

- A basic understanding of contracts or commercial documentation, with a willingness to learn.

- Exposure to construction, infrastructure, utilities, engineering or project environments would be advantageous.
