Waste Water Services (WWS) is part of Vysarn Limited (ASX: VYS), Australia’s leading vertically integrated water services provider supporting the mining, resources and infrastructure sectors.
Waste Water Services specialises in the design, construction and commissioning of water and wastewater treatment infrastructure, including sewage treatment plants, potable water treatment systems, pump stations, filtration systems and reverse osmosis plants.
Our projects support major clients including BHP, Rio Tinto, Pilbara Minerals and Fortescue, as well as Water Corporation, local governments and regional communities across Western Australia.
Due to continued growth and a strong pipeline of projects, we are looking for an experienced Document Controller to join our project delivery team in Perth.
The Role
This is a key role within our project delivery team, responsible for managing and maintaining document control systems and processes across multiple concurrent projects.
Working alongside our existing Document Controller, project managers, engineers, suppliers and site teams, you will take a lead role in ensuring project documentation is accurate, controlled, traceable and issued in accordance with company and client requirements.
We are looking for someone with substantial document control experience who is comfortable taking ownership of the function, managing competing priorities and ensuring documentation continues to move through review and approval processes as our project portfolio grows.
What You'll Be Doing
- Managing the receipt, control, distribution and storage of engineering, project, vendor and operational documentation
- Maintaining document control registers, drawing registers, correspondence logs and project deliverable registers
- Administering electronic document management systems, including uploading, coding, routing, issuing and archiving documentation
- Coordinating document transmittals, review cycles and approvals with engineering, project, vendor, contractor and site teams
- Managing design information, vendor data,
drawings, manuals and other project deliverables
- Ensuring documents are correctly formatted, numbered, revised and distributed in accordance with project procedures and client requirements
- Performing QA/QC checks to ensure documentation meets company and client standards prior to issue
- Monitoring document status and following up outstanding reviews, approvals and deliverables to keep projects on track
- Generating document status reports and providing visibility of outstanding documentation to project teams
- Supporting the preparation and compilation of documentation for procurement, construction, commissioning and project handover
- Supporting MDR, OMM and final project documentation requirements
- Maintaining accurate records and supporting document control audits and quality reviews
- Developing effective working relationships with internal and external stakeholders to ensure information is captured and exchanged efficiently
- Providing document control guidance and support to project and site teams
Who We're Looking For
We are looking for an experienced Document Controller who can take ownership of their responsibilities and work effectively across a busy portfolio of engineering and construction projects.
You will ideally bring:
- 8–10 years' proven experience in document control, preferably within engineering, construction, mining, resources or infrastructure
- Strong experience managing engineering drawings, vendor documentation and project deliverables
- A solid understanding of document control processes, workflows, revision control and document numbering conventions
- Solid working knowledge of electronic document management systems
- Experience with systems such as PIMS, Autodesk, and Aconex will be highly regarded
- Good working knowledge of Microsoft Office and SharePoint
- Excellent attention to detail and a high level of accuracy
- Strong organisational skills and the ability to manage multiple projects and competing priorities
- The confidence to follow up documentation, reviews and approvals with internal and external stakeholders
- Clear and professional written and verbal communication skills
- The ability to work effectively with engineers, project managers, suppliers, contractors and site personnel
- Full and unrestricted Australian working rights
Experience within water infrastructure, minerals processing or a similar engineering project environment will be advantageous.
Working With Us
You will work alongside our existing Document Controller and experienced project managers and engineers, gaining exposure to the full lifecycle of water infrastructure projects from engineering and procurement through to mobilisation, construction, commissioning and handover.
This is primarily an office-based role in Perth, and we are looking for someone who can work our standard business hours of approximately 8:00am to 4:30pm. Due to the collaborative nature of the position, we need someone who is available throughout the core working day to support our project and engineering teams.
The work is substantive from day one. You will have the opportunity to take ownership of an important project delivery function while working across critical water and wastewater infrastructure projects throughout Western Australia.
