Stores & accounts payable coordinator

As Stores & accounts payable coordinator, you’ll keep our hotel’s inventory operations running smoothly, from processing supplier invoices and reconciling accounts to receiving, storing and distributing stock. It’s a hands-on role that blends finance administration with the physical side of hotel operations,



so you’ll be equally comfortable at a desk and on the loading dock.

Key responsibilities

- Process and code supplier invoices accurately, checking them against purchase orders and confirming the correct authorisation before payment.

- Manage the end-to-end purchase order process within the accounts payable system.

- Reconcile hotel payment accounts against supplier statements.

- Receive, check and dispatch goods, making sure deliveries match orders and meet the hotel’s quality standards.

- Issue requisitioned stock to departments and keep storage areas and the loading dock clean, tidy and safe.

- Check and distribute the daily food and beverage tracker, comparing purchases against revenue.

- Support food safety and HACCP compliance, including temperature checks and logs with the Executive Chef and F&B; Manager.

- Follow all hotel policies, procedures and WH&S; guidelines, and pitch in wherever the F&B; Service Manager needs a hand.

What You’ll Bring

- Strong attention to detail and a head for numbers, with confidence checking invoices, purchase orders and reconciliations for accuracy.

- Experience in accounts payable, stores or inventory coordination, ideally within hospitality or a similar rapid-paced environment.





- Solid organisational skills and the ability to juggle admin deadlines with hands-on stock and delivery management.

- A safety-first mindset, comfortable with regular lifting, carrying and manual handling.

- Working knowledge of food safety and HACCP principles, or a willingness to learn them quickly.

- A collaborative, can-do attitude, happy to work closely with chefs, managers and the wider hotel team.
