SCHADS Level 3 | $80,020 - $85,797 per annum + Superannuation + Salary Packaging Benefits

We're seeking a highly organised and proactive Administration Officer to join our South West Queensland and North West NSW team, based in Toowoomba.
n
Supporting the Clinical Services Manager and three Team Leaders, you'll play an important role in keeping a diverse range of alcohol and other drug, mental health, and aged care programs operating smoothly across the region. This is a varied and rewarding position for someone who enjoys working in a busy environment, managing competing priorities, and providing exceptional administrative support.
n
This role is full-time, onsite, Monday to Friday (8:30am - 4:30pm), and is offered on a fixed-term basis until 30 June 2027. Subject to future funding arrangements, there may be an opportunity for the position to become ongoing.

Key Responsibilities
n
n
- Provide high-quality administrative support to the Clinical Services Manager and Team Leaders.
n
- Coordinate meetings, calendars, appointments and room bookings.
n
- Prepare agendas, take minutes and distribute meeting documentation.
n
- Maintain accurate records, databases and filing systems.
n
- Assist with reporting, correspondence and compliance-related administration.
n
- Support communication and information management across the service.
n
- Respond professionally to enquiries from staff and external stakeholders.
n
- Provide professional and welcoming front-of-house support to clients, visitors and stakeholders attending the office.
n
- Contribute to the continuous improvement of administrative systems and processes.
n

What We're Looking For
n
To be successful in this role, you will have:
n
n
- Administration,
project support or office coordination experience.
n
- Demonstrated ability to quickly learn and confidently use multiple systems, databases and technologies, with the capacity to adapt to new processes and become productive with minimal supervision.
n
- Experience supporting multiple managers or teams.
n
- Strong diary management, meeting coordination and minute-taking skills.
n
- Experience maintaining confidential information, records and databases.
n
- Strong written, verbal and interpersonal communication skills.
n
- A professional, friendly and client-focused approach, with confidence engaging with people from diverse backgrounds.
n
- The ability to manage competing priorities, work autonomously and show initiative.
n
- A proactive approach to problem-solving and delivering quality outcomes.
n
n
Highly Regarded
n
n
- Experience working in health, community services, mental health, alcohol and other drug services, disability, aged care or not-for-profit settings.
n
- Qualifications in Business Administration or a related discipline.
n
