Commercial and Contracts Specialist:

Work with our customers to deliver sustainable bottom-line cost savings.

- Be responsible for performing deep-dive activity across cost base, forensically analysing contracts, invoices and spend data to provide a holistic view of supplier’s contracts and spend
- Act as primary interface with Business Functions, IT & Purchasing Stakeholders (often across many geographies) to understand products and/or services and collaboratively devise strategies and opportunities for executable cost reductions or cost take-out.
- Conduct reviews with technical teams as a demand challenge layer to analyse technical solutions, licensing volumes, SLAs, services and evaluate opportunities for right-sizing, cost reductions and risk appetite decisions to be discussed / agreed
- Create clear negotiation strategies for supplier or contract opportunities and execute these as cost saving initiatives
- Review inventory data to understand any growth or decline trends, plus future strategies and roadmaps of particular technologies / solutions
- Contribute towards program deliverables including initiative tracking, MI reporting and dashboards to demonstrate activity is being progressed, and to maintain a view of upcoming initiatives and savings delivered.
- Be responsible for compiling savings evidence to provide clear figures of in-year and annual run-rate savings as well as payment profiles of contracts.
- Create cash and P&L; views for contracts to inform understanding of spend profiles using CoCo tools
- Create commercial propositions including benefits and overview of costs
- Supporting Customers with supplier negotiations and drafting contract terms
- Run RFP processes (where appropriate) to seek better commercial terms for existing services or by selection of replacement services with better value.
- Produce comprehensive business cases, (where appropriate), with P&L; and Cash modelling for services to demonstrate how the financial benefits are structured over various time horizons.
- Track and report savings achievements on a regular basis.

Other Services In addition to our core Cost and Contract Optimisation Services CoCo also offer and deliver a range of related operational and consultancy services,



and you will also be expected to deliver such projects from time to time to deliver the customers’ requirements – a description of these ancillary services can be found on the CoCo Asia Pacific website www.cocoapac.com. Common activities expected from the Cost & Commercial Specialist are:

- Cost Management – establishing and/or running of a cost management function to help the customer challenge unnecessary spend and ultimately to control costs.
- Commercial Contracts Calendar – establishing, populating and maintaining a commercial contracts calendar on behalf of a customer, either using customer tooling or CoCo tools were nothing exists within the customer.
- Zero Based Budgeting – working from scratch with the customer’s finance teams, budget holders, product, service and contract owners to construct a zero-based budget, and the creation and implementation of the necessary management and control processes and procedures.
- Procurement on Demand and Procurement as a Service – act as the customer’s procurement function within the agreed scope, such contracts are more akin to an outsource provision, the commercial and contracts specialist’s role will be to provide the services as defined in the customer SoW.
- RFP/ BID evaluation – this can either be working for the customer, or the supplier and involves either running a single procurement activity or providing consulting and advice to either party on the process and evaluation. This may also include building robust commercial business cases on behalf of either party.
- Business case build and tracking – this service involved the building and potentially benefit tracking a commercial business case.
- Commercial Program implementation – this is effectively a project or program lead role but with a specific focus on the delivery of the business case benefits. The Commercial and contract specialist will not be responsible for any technical delivery, but will facilitate, negotiate and implement any commercial agreements necessary to deliver the perks associated with the project.
- Contingent Resource Optimisation – although essentially the same principle as SCO,



CRO is specifically targeted at contingent resource optimisation and can include areas such as establishment of a Preferred Supplier List and the process to manage it, pre-negotiation of standard day rates, volume purchase discounts or rebates, and the management of contractor to perm initiatives.

Work experience requirements:

- Extensive experience in commercial, financial, or procurement / sourcing related areas.
- Experience of working within one of more of the following sectors global financial services, insurance, healthcare, private equity, manufacturing, construction, engineering, chemical, energy, charities, public sector bodies as well as fintechs and technology companies.
- Good experience of financial modelling, P&L; vs. Cash positions, account treatment of OpEx and CapEx, depreciation lifecycles, VAT recovery etc.
- Demonstrable experience of supplier contract negotiation.
- Demonstrable experience in vendor, cost and commercial management including cost reduction / optimisation programs.
- Good knowledge of IT Infrastructure technical platforms / technologies, execution of IT vendor management policies.
- Good understanding of the IT global delivery model and future roadmap.
- Experience of working at all levels of an organisation, demonstrating excellent stakeholder management ability.

- Manage projects against agreed timelines, build the necessary relationships and manage the coordination with stakeholders across business units to ensure the delivery of optimisation opportunities.
- Solve problems, delivering desired results which improve customer positions and demonstrate tangible and measurable value.
- Establish and maintain effective working relationships with customers, management, team members and operational staff.
- Influence senior stakeholders on commercial services and strategic approaches.
- Bring new ideas and improvements to the team, processes and tools.
- Strong knowledge of Microsoft Office products especially Excel.
