Commercial Fitout/Refurbishment Estimator
Key Responsibilities
Sales & Production Estimating
- Prepare accurate estimating mark-ups, cost plans, and client quotations in line with company pricing strategies and commercial objectives.
- Review and validate estimates for buildability, scope, materials, labour, subcontractor requirements, sequencing, and overall cost accuracy.
- Support the Sales team with complex, high-value, high-volume, and time-sensitive tenders.
- Complete detailed quantity take-offs and verify project scope against drawings, specifications, contracts, schedules, and other tender documentation.
- Define material, labour, subcontractor, equipment, and project requirements to ensure estimates are complete and commercially sound.
- Prepare detailed Scopes of Work, Material Take-Offs, inclusions, exclusions, assumptions, and other estimating documentation.
- Identify discrepancies, omissions, risks, and scope gaps and ensure these are addressed before submission.
- Convert awarded projects into detailed production jobs, ensuring all relevant estimating and scope information is captured accurately.
- Complete job set-up and provide a clear, comprehensive handover to the Construction/Production team.
- Review construction outcomes, variations, costs, and lessons learned and feed relevant information back into future estimating and pricing.
Procurement & Supplier Management
- Source and negotiate competitive pricing for materials, labour, equipment, plant, and subcontractor services.
- Obtain, compare, and assess supplier and subcontractor quotations to ensure value, availability, quality, and compliance.
- Prepare purchase orders and assist with monitoring supplier commitments, lead times, deliveries, and outstanding requirements.
- Maintain accurate supplier, subcontractor, and pricing information to support efficient estimating and procurement.
- Build and maintain robust working relationships with key suppliers and subcontractors.
Maintenance, Warranty & Defects
- Coordinate warranty, defects, maintenance, and post-project service requirements.
- Assess reported defects and determine likely responsibility with reference to the NCC/BCA, project documentation, contractual requirements, and manufacturer specifications.
- Prepare scopes, photographs, supporting documentation, and relevant information for Operations and site teams.
- Maintain accurate warranty and defects records and assist with the timely resolution of outstanding items.
- Support the business in investigating and resolving warranty, defects, and responsibility disputes.
Contracts Administration & Compliance
- Maintain current company and subcontractor certificates of currency, insurance documentation, licences, and compliance records.
- Monitor expiry dates and proactively follow up renewals to ensure licences, tickets, certificates, insurance, and other compliance requirements remain current.
- Prepare and maintain SWMS, inductions, White Card records, safety documentation, quality documentation, and other project compliance requirements.
- Prepare subcontractor compliance packs, prequalification questionnaires, builder portal submissions, and related documentation.
- Manage rejected or incomplete submissions and follow up with relevant parties through to acceptance.
- Maintain accurate compliance registers and ensure documentation is readily accessible and up to date.
- Assist with contract administration, variations, project documentation, and other commercial requirements as required.
Fleet & Document Control
- Maintain the company vehicle and fleet register, including registrations, servicing, inspections, tolls, infringements, and associated records.
- Coordinate fleet renewals, servicing, inspections, and other obligations to ensure requirements do not lapse.
- Organise and maintain project documentation, including drawings, specifications, contracts, scopes, purchase orders, variations, correspondence, and close-out records.
- Maintain accurate registers, trackers, filing systems, and project databases.
- Liaise with site teams, suppliers, subcontractors, builders, and internal stakeholders to resolve documentation, estimating, procurement, and project-related issues.
- Ensure information is accurately recorded, controlled, and communicated throughout the project lifecycle.
Requirements Required Skills & Experience
- Bluebeam experience is essential.
- Minimum 2 years’ Australian construction experience; 5+ years’ production estimating experience preferred.
- Proven experience in commercial fitout, refurbishment, or construction estimating.
- Strong skills in quantity take-offs, estimating, cost plans, tenders, Scopes of Work, and client quotations.
- Strong understanding of materials, construction methods, sequencing, labour, procurement, and project costs.
- Experience with subcontractor procurement and contracts administration, including compliance, insurance, prequalification, and documentation.
- Sound knowledge of Australian construction practices, NCC/BCA, drawings, specifications, and contracts.
- Highly organised, commercially aware, and detail-focused, with the ability to manage multiple priorities and deadlines.
- Proactive and self-motivated, with the ability to work independently and across Sales, Estimating, Procurement, Operations, and Construction.
- Experience with Knack, Orbis Nexvia, and HubSpot desirable; willingness to learn required.
- Strong written and verbal communication skills and ability to work effectively with clients, builders, subcontractors, suppliers, and internal teams.
