About the Role We are seeking an organised and proactive Company Vehicle Coordinator to support the end-to-end management of Geely Australia’s company vehicle fleet. The role coordinates the full vehicle lifecycle, including vehicle allocation, handover and return, registration, insurance, servicing, repairs, incidents, fleet records, de-fleet, used vehicle disposal and auction activities. Working closely with employees, Finance, HR, internal business teams and external suppliers, the role helps ensure company vehicles are managed efficiently, safely and in accordance with company policies and operational requirements.

Key Responsibilities

Company Vehicle & Fleet Coordination

- Coordinate the day-to-day administration and operation of the Company’s vehicle fleet, including company vehicles, employee-assigned vehicles and pool vehicles.
- Maintain an accurate and up-to-date vehicle register covering vehicle details, allocation, location, registration, insurance, servicing, condition and status.
- Coordinate vehicle allocation, collection, handover, transfer and return processes.
- Conduct or coordinate vehicle condition checks at handover and return and ensure relevant documentation, photographs and records are maintained.
- Monitor vehicle availability and support effective utilisation of the company fleet.
- Coordinate vehicle movements between offices, employees, dealerships, storage facilities and other locations where required.

Registration, Insurance & Compliance

- Coordinate vehicle registration, renewal and other regulatory requirements.
- Maintain accurate registration and insurance records and proactively monitor relevant expiry dates.
- Liaise with insurers and relevant stakeholders regarding vehicle insurance matters and claims.
- Ensure company vehicles and related documentation are managed in accordance with Company Vehicle Policy and applicable requirements.




- Maintain appropriate fleet records for internal review, audit and compliance purposes.

Servicing, Maintenance & Repairs

- Coordinate scheduled servicing, maintenance, tyre replacement, repairs and other vehicle requirements.
- Liaise with dealerships, repairers, service centres and other suppliers to arrange inspections, quotations and repairs.
- Monitor repair progress and follow up with suppliers to ensure vehicles are returned to service within appropriate timeframes.
- Maintain records of vehicle servicing, maintenance, repairs and associated costs.
- Identify and escalate recurring vehicle issues, unusual repair costs or operational risks where appropriate.

Vehicle Damage, Incidents & Claims

- Coordinate the reporting and documentation of vehicle accidents, damage and other incidents.
- Obtain relevant information, photographs, quotations, repair assessments and supporting documentation.
- Liaise with employees, insurers, repairers and other relevant parties to progress vehicle damage and insurance matters.
- Maintain clear records of incidents, damage assessments, repair costs and outcomes.
- Provide relevant factual information and supporting documentation to HR and Finance where an incident may involve employee responsibility or payment under the Company Vehicle Policy.
- Follow up outstanding actions to ensure vehicle-related matters are resolved in a timely manner.

Tolls, Infringements & Vehicle Costs

- Coordinate administration of tolls, parking charges, traffic infringements and other vehicle-related charges.
- Identify the relevant vehicle user and provide supporting information to the appropriate internal stakeholder for further action.
- Maintain appropriate records of vehicle-related charges and outstanding matters.
- Work with Finance and other internal stakeholders to support accurate processing and reconciliation of fleet expenses.

Used Vehicles, De-fleet & Auction

- Coordinate the de-fleet and disposal of company vehicles in accordance with approved fleet plans and internal approval processes.
- Manage the end-to-end vehicle disposal process, including vehicle inspection, condition assessment, valuation, preparation and transfer to approved auction houses, dealerships or other disposal channels.
- Liaise with auction houses, dealerships and other external partners to arrange vehicle collection, transportation, assessment, listing and sale.
- Obtain and compare vehicle valuations and relevant market information to support appropriate disposal decisions.
- Coordinate vehicle preparation prior to disposal, including servicing, repairs, cleaning, removal of company property and completion of required documentation.
- Maintain accurate records of used vehicles and vehicles listed for disposal, including auction status, sale results, final disposal values and associated costs.
- Coordinate registration cancellation or transfer,



ownership documentation and other administrative requirements following vehicle disposal.
- Work closely with Finance to reconcile vehicle sale proceeds, auction fees, repair costs and other disposal-related expenses.
- Monitor used vehicle and auction outcomes and prepare reporting on disposal volumes, values, costs and performance.
- Support continuous improvement of de-fleet, used vehicle and auction processes to improve efficiency, control and commercial outcomes.

Supplier & Stakeholder Coordination

- Liaise with dealerships, fleet providers, insurers, registration authorities, roadside assistance providers, repairers, auction houses and other external suppliers.
- Obtain and review quotations and invoices and coordinate internal approvals where required.
- Work closely with HR, Finance, Sales, Aftersales and other internal teams on company vehicle matters.
- Respond to employee enquiries regarding company vehicle processes and policy requirements.
- Support continuous improvement of fleet administration processes, controls and record keeping.

Reporting & Administration

- Maintain accurate electronic records and documentation for all company vehicles throughout the vehicle lifecycle.
- Prepare regular fleet reports covering vehicle allocation, utilisation, servicing, repairs, incidents, costs, de-fleet and disposal activities.
- Monitor upcoming registration, insurance, servicing and other key deadlines and take proactive action.
- Support fleet budgeting, invoice reconciliation and cost tracking where required.
- Assist with fleet-related projects and undertake other reasonable duties related to the Company’s business operations.

About You

- Approximately 2–4 years’ experience in fleet coordination, automotive administration, vehicle operations, used vehicle operations or a similar role.
- Previous experience within an automotive OEM, dealership, fleet management, vehicle leasing, rental, auction or related automotive environment is highly regarded.
- Experience with vehicle disposal, de-fleet, used vehicle sales or auction processes would be advantageous.
- Good understanding of vehicle registration, insurance, servicing, repairs and general fleet administration.
- Strong organisational skills and the ability to manage multiple vehicles, suppliers and competing priorities.
- High attention to detail and strong record-keeping capability.
- Strong communication and stakeholder management skills, with confidence dealing with employees and external suppliers.
- Proficient in Microsoft Excel and other business administration or fleet management systems.
- Proactive, hands-on and comfortable following outstanding matters through to completion.
- Valid Australian driver’s licence.
- Full Australian working rights.
