Mount Isa Water Board (MIWB) is seeking an experienced Contract Administrator to administer and manage contracts for goods, services, works, consultancies and technology across the organisation.
Reporting to the General Manager – Corporate & Governance, this is a commercially focused role with responsibility for contract establishment, administration and lifecycle management. You will work closely with contract owners, project managers and technical specialists to ensure contracts are properly formed, executed, mobilised, monitored and closed out.
The primary focus of the role is contract administration. You will prepare, interpret, maintain and review contracts; monitor contractor performance and contractual obligations; coordinate variations, claims and disputes; and provide practical advice and reporting to support sound commercial decisions.
Procurement and sourcing support forms part of the contract-formation stage, including tender documentation, evaluation records, supplier clarifications and translating approved procurement outcomes into executable contracts.
About the role The Contract Administrator will play a central role in strengthening MIWB’s contract-management practices and protecting its commercial position.
You will support the effective management of MIWB’s contract portfolio, including contract records, deliverables, milestones, expenditure, performance measures, insurances, securities, variations, claims, expiry dates and renewal options.
This is a broad role requiring sound judgement, strong attention to detail and the ability to work effectively with operational teams, technical specialists, suppliers, professional advisers and senior leaders.
While MIWB supports flexible work arrangements, this role is based in Mount Isa. Remote or FIFO arrangements are not currently available.
Key responsibilities
- Administer MIWB contracts across their full lifecycle, including establishment, execution, mobilisation, performance monitoring, variation, extension, renewal, dispute resolution, expiry and close-out.
- Prepare, interpret, maintain and review contract documents, schedules, correspondence, notices, registers and supporting records.
- Work with contract owners, project managers and technical specialists to establish clear scopes, deliverables, milestones, pricing, performance measures and contract-administration requirements.
- Coordinate contract execution, handover and mobilisation requirements, including approvals, insurances, securities, licences and other prerequisite documentation.
- Maintain MIWB’s contract register and monitor contractual obligations, key dates, expenditure, deliverables, performance, insurances, securities, variations, claims and renewal options.
- Monitor contractor performance and coordinate contract meetings, performance reviews, action registers and corrective-action plans.
- Assess and coordinate contract variations, extensions, renewals, claims and disputes,
including the preparation of supporting advice and recommendations for the relevant delegate.
- Respond to contract enquiries and assist in resolving commercial, contractual and administrative issues, escalating matters as required.
- Prepare contract-performance, risk, expenditure and governance reports for management, the Executive Leadership Team, Board and relevant committees.
- Support contract governance, audit and assurance activities, including accurate records and appropriate health, safety, environmental and operational controls.
- Provide support during the procurement and contract-formation stage, including preparing scopes, tender documentation, evaluation records, supplier clarifications and draft contract documentation.
- Improve contract-management systems, templates, guidance and reporting practices across MIWB.
About you You will be a commercially astute and highly organised contracts professional, able to manage the detail of individual agreements while maintaining a clear view of portfolio-wide obligations, risks and priorities.

What you will bring
- A relevant AQF Diploma, Advanced Diploma, Degree or higher qualification in contract management, procurement and contracting, commerce, business, law or a related discipline.
- At least three years’ demonstrated experience in contract administration and lifecycle management, or substantial directly relevant experience supported by the required qualification.
- Demonstrated experience administering complex, high-value or high-risk contracts across contract formation, execution, mobilisation, performance management, variations, extensions, renewals, disputes and close-out.
- Demonstrated experience in a water utility, broader utilities, infrastructure, resources or similarly regulated essential-services environment.
Experience in a water utility or utilities environment is essential.
- Proven capability in preparing, interpreting, maintaining and reviewing contract documents, including assessing contractual departures, variations, claims,
extensions and commercial risk.
- Experience administering contracts involving operational assets, field-based contractors, technical specifications, health and safety obligations, environmental controls, insurances, securities and contractor compliance.
- Demonstrated ability to monitor contractor performance, deliverables, milestones, service levels, expenditure, claims, invoices and compliance requirements, and to identify and escalate emerging issues.
- Sound working knowledge of Queensland public-sector procurement and contract-governance requirements, including probity, delegations, record-keeping, audit and assurance.
- Demonstrated ability to analyse contract, financial and project information and prepare clear reports and recommendations for management, Executive and Board-level stakeholders.
- Highly developed written, verbal, negotiation and stakeholder-management skills, including the ability to work effectively with project managers, engineers, technical specialists, contractors, suppliers and external advisers.
- High standards of integrity, confidentiality, accountability and attention to detail, together with the ability to manage competing priorities with limited supervision.

Conditions of appointment This role is primarily based in Mount Isa, Queensland, with reasonable travel as required.
