About the Role
We are looking for a highly organised and commercially minded Corporate Services Coordinator to join our Finance team on a full-time basis. Reporting to the Head of Finance, you will play a central role coordinating Douglas Partners' corporate procurement, insurance, fleet, property leases and key supplier arrangements while also supporting our business development team with tender, prequalification and proposal coordination.
This is a corporate-wide role, distinct from project-based procurement, giving you genuine exposure across the breadth of the organisation - from our national vehicle fleet and office network to our laboratories as well as the opportunity to contribute directly to winning new work.
Key Responsibilities
Corporate Services
- Coordinate insurance renewals across multiple lines (general, professional liability, workers compensation, D&O;), manage certificate of currency distribution and support claims coordination.
- Coordinate fleet vehicle purchasing, disposal and record-keeping in line with Douglas Partners' Fleet Vehicle Procurement Framework.
- Maintain the property lease register across our national branch network, tracking key dates, renewals and rent reviews.
- Coordinate procurement of standard laboratory equipment and manage PPE and uniform supplier arrangements.
- Manage relationships with key corporate suppliers, identifying opportunities to improve value and reduce risk.
- Support the integrity of the company's fixed asset register and related financial records.
Tenders & Business Development Support
- Prepare and manage EOIs, tenders and capability statements, ensuring compliance with client requirements.
- Maintain and manage prequalification panels, registrations and WHS documents through various portals.
- Distribute tender opportunities and assist in preparing claims and submissions via online platforms.
About You
- Experience in corporate services, procurement, contract or supplier management, or a related commercial/administration role.
- Familiar with tender portals, compliance processes and document preparation — or eager to learn; prior experience in tender or proposal preparation will be highly regarded.
- Comfortable managing multiple supplier relationships and competing priorities at once, across both corporate services and tender deadlines.
- Experience in lease administration, property management, or insurance renewal processes highly regarded (though not essential).
- Excellent attention to detail, with robust Microsoft Excel skills and confidence using tender submission portals or CRM systems.
- A proactive, commercially minded approach, with the confidence to liaise across all levels of the business and with external suppliers, brokers and clients.
