About the role

We are seeking an Events and Wedding Co-ordinator to join the Bread and Butter Catering team on a part time annual salary basis (Min 20 HOURS FROM THURS TO SAT) + PAID HOURLY FOR EXTRA HOURS. This role is pivotal in managing the planning, coordination and execution of events and weddings, working seamlessly with our catering team to ensure every occasion runs smoothly from start to finish. Based in Wallaroo, NSW 2618, you will be the central point of contact for clients, liaising with all stakeholders to deliver exceptional wedding and event experiences that exceed expectations.

This position offers flexibility whilst requiring dedication to detail and a passion for creating perfect occasions.

What you'll be doing

- Liaising with clients to understand their event requirements, vision and budget constraints
- Creating detailed event plans, timelines and checklists to ensure seamless execution
- Coordinating all aspects of event logistics, including venue setup, catering arrangements, and vendor management
- Managing guest lists, dietary requirements and special requests
- Communicating with internal teams to ensure alignment on event details and service delivery
- Sourcing and liaising with external suppliers, including florists, decorators, musicians and photographers
- Conducting site visits and venue walkthroughs with clients prior to events




- Managing event budgets and maintaining cost control throughout the planning process
- Problem-solving and managing last-minute changes or challenges on the day of events
- Providing on-site coordination during events to oversee setup, execution and breakdown
- Gathering feedback from clients post-event and identifying opportunities for improvement

What we're looking for

- Proven experience in event coordination, wedding planning or a similar role within the hospitality or events industry
- Excellent organisational skills with the ability to manage multiple events simultaneously
- Strong communication and interpersonal abilities, with a talent for building rapport with clients and vendors
- Proficiency in event management software and Microsoft Office applications
- Attention to detail and a proactive approach to problem-solving
- Flexibility and willingness to work on weekends and evenings as required by event schedules
- A creative mindset with the ability to translate client vision into reality
- Budget management and financial planning capabilities
- Ability to work both independently and as part of a collaborative team
- Knowledge of catering operations and understanding of event logistics is highly desirable
