Role Overview

We are seeking an experienced and highly organised Executive Assistant to join our Adelaide office, providing high-level support to the CEO and wider senior leadership across Baker Young. The Adelaide EA will also work closely with the Executive Assistants across the wider Capital Haus Group, forming part of a collaborative executive support network across our offices. This will involve regular coordination across executive schedules, meetings, travel, events, Board and leadership activities, and broader Group priorities.

This is a hands-on role suited to someone who is proactive, commercially aware and comfortable working in a fast-paced executive environment. You will play an important role in managing competing priorities, coordinating key stakeholders and ensuring executives are well prepared and supported across their day-to-day responsibilities.

The successful candidate will be trusted with confidential and sensitive information and will need to demonstrate a high level of professionalism, judgement and discretion.

Key Responsibilities

Executive Support

- Provide high-level administrative and organisational support to senior leadership.
- Manage complex calendars, meetings,



appointments and competing priorities.
- Coordinate internal and external meetings, ensuring executives are appropriately briefed and prepared.
- Manage and prioritise correspondence, communications and follow-up actions.
- Draft and prepare correspondence, reports, presentations, meeting papers and executive briefs.
- Assist with the preparation and coordination of Board, leadership and other key business meetings.
- Handle confidential and sensitive information with a high degree of discretion.

Group Coordination

- Work closely with Executive Assistants across the Capital Haus Group to coordinate executive priorities and activities.
- Support the coordination of meetings, travel, events and executive engagements across multiple offices.
- Maintain clear communication across the wider EA network to ensure senior leadership is effectively supported.
- Assist with Group-wide initiatives, projects and events where required.
- Help maintain consistency and strong administrative practices across the broader executive support function.

Travel & Coordination

- Coordinate domestic and international travel, including flights, accommodation, transfers and detailed itineraries.
- Manage changes to schedules and travel arrangements as required.
- Coordinate meetings and activities across multiple offices, executives and time zones.
- Support key projects and track actions and deliverables on behalf of senior leadership.

Stakeholder Management

- Act as a key point of contact between senior leadership, internal teams and external stakeholders.
- Build strong working relationships with clients, Board members, business partners and senior leaders.
- Coordinate executive meetings, client engagements, events and leadership activities.
- Ensure communications and follow-ups are managed professionally and in a timely manner.

Administration & Office Support

- Maintain accurate records, documentation and filing systems.
- Identify opportunities to improve administrative processes and executive workflows.
- Support the smooth day-to-day operation of the Adelaide executive office.
- Provide broader administrative and coordination support where required.





Skills & Experience

Essential

- Demonstrated experience as an Executive Assistant, Personal Assistant or similar role supporting senior executives.
- Exceptional organisation and time-management skills.
- Strong attention to detail and ability to manage multiple competing priorities.
- Excellent written and verbal communication skills.
- Strong proficiency across Microsoft Outlook, Word, Excel and PowerPoint.
- Confidence communicating with senior stakeholders internally and externally.
- Ability to work autonomously, exercise sound judgement and take initiative.
- High level of professionalism, integrity and discretion when handling confidential information.

Desirable

- Experience within financial services, professional services, accounting, wealth management or a similar corporate environment.
- Previous experience supporting C-Suite executives, Directors or Board members.
- Experience coordinating executive travel, meetings and events across multiple locations.
