About the roleThis is not a traditional Executive Assistant role.

We are looking for an exceptional Executive Assistant & Project Coordinator to work closely with the Founder of The Pearl Way during an exciting stage of growth.

The Pearl Way is an early childhood social cohesion initiative developed through six years of practice at Pearl Montessori. It is now entering its next stage of development, with pilot and evaluation activity, government and sector engagement, resource development and national educator outreach underway.

This is a varied and fast-moving role combining:

- Executive support
- Project coordination
- Stakeholder management
- Communications support

We are looking for someone who can move comfortably between managing the Founder’s diary, preparing for an important stakeholder meeting, drafting a polished email, coordinating a project milestone and making sure the next ten actions actually happen. The successful candidate will become a trusted right hand to the Founder and help turn ideas, relationships and opportunities into coordinated action.

Key responsibilitiesExecutive support

- Manage diary, meetings, appointments and competing priorities.
- Coordinate meeting logistics, agendas, briefing materials and follow-up.
- Prepare the Founder for key meetings with relevant background information and action points.
- Help triage correspondence and requests.
- Draft and polish emails, letters, presentations and professional correspondence.
- Track commitments, priorities and follow-up.
- Support events, stakeholder visits and travel where required.
- Anticipate what needs to happen next rather than waiting to be asked.

Project coordination
- Maintain project plans, timelines, milestones and action registers.
- Coordinate work across team members, consultants, evaluators and external partners.
- Track deliverables across pilot, evaluation, resources, communications and stakeholder engagement.
- Follow up actions and ensure responsibilities and deadlines are clear.
- Prepare meeting agendas and concise notes.
- Translate meetings and strategic discussions into clear next steps.
- Maintain project documentation and version control.
- Support grant milestones, reporting and project documentation.
- Identify bottlenecks, outstanding actions and upcoming deadlines proactively.

Stakeholder managementThe Pearl Way works with stakeholders across early childhood education, government, academia, philanthropy, evaluation, communications and community organisations.

You will

- Maintain stakeholder records and relationship trackers.
- Coordinate meetings with government departments, sector bodies, academics, evaluators, philanthropic partners and collaborators.




- Draft correspondence and follow-up communications on behalf of the Founder.
- Prepare briefing notes ahead of important meetings.
- Ensure stakeholders receive the right information at the right time.
- Support presentations, visits, events and partnership opportunities.
- Maintain discretion and professionalism around sensitive information.

Strong judgement is important. The tone required for a government stakeholder may be very different from the tone required for an educator or community partner. Communications supportWe are looking for someone with strong written communication skills and some experience or interest in communications, marketing or PR.

Responsibilities may include

- Helping develop messaging for different audiences.
- Coordinating communications projects and campaign timelines.
- Liaising with PR, marketing, branding, design, digital and video partners.
- Managing feedback and approval processes.
- Maintaining campaign action lists and content schedules.
- Identifying opportunities for stories, case studies and educator voices.
- Coordinating photography, video, testimonials and communications assets.
- Maintaining a central library of approved messaging, project information, biographies, statistics, images and links.
- Helping ensure messaging and brand voice remain clear and consistent.

This role supports specialist communications agencies and consultants rather than replacing them. Educator and community engagementAs The Pearl Way grows, you may also:
- Coordinate educator registrations and enquiries.
- Communicate with participating services and educators.
- Help organise webinars, networking opportunities and online sessions.
- Maintain educator engagement records.
- Coordinate feedback, stories and testimonials.
- Support opportunities for educators to share their cultures, experiences and perspectives.
- Help build a connected national educator community.

Skills and experienceIdeally, you will have experience in several of the following:
- Executive assistance to a Founder, CEO or senior executive.
- Project coordination or project management.
- Marketing, communications or PR.
- Stakeholder engagement.
- Government or senior external stakeholder communications.
- Coordinating agencies, consultants or suppliers.
- Preparing professional correspondence, presentations and briefing papers.
- Managing project trackers, databases and content calendars.
- Education, early childhood, not-for-profit, social impact or purpose-led organisations.

You do not need experience in every area. We are particularly interested in someone who combines exceptional organisation, strong judgement, excellent written communication and good communications instincts.
