Summary:
Provide high-impact, dedicated support within a fast-paced technology setting.
Partner closely with a Chief of Staff and a wider support team. This role supports a founder while working as part of a trusted, close-knit executive support model.
This is a career Executive Assistant opportunity for someone who values exceptional service, sound judgement and thoughtful execution.
The Role:
- Own a complex and constantly changing calendar, protecting time and prioritising what matters most.
- Manage an active inbox with discretion, clarity and excellent judgement.
- Coordinate domestic and international travel, itineraries, expenses and logistics end to end.
- Prepare meetings, coordinate materials and maintain a smooth leadership rhythm.
- Build strong relationships with internal teams, external stakeholders and the wider support community.
- Anticipate needs before they are raised and resolve issues calmly in the background.
- Deliver "white glove" service as standard — the kind of attention to detail where nothing is generic and nothing is missed,
from a perfectly organised offsite down to the smallest personal touch.
- Continuously identify friction and create smarter, faster ways of working.
What you bring:
- At least 3–4 years of Executive Assistant experience supporting senior leaders in a fast-moving environment, with the maturity, professionalism and credibility to deliver at an executive level.
- A genuine long-term commitment to the Executive Assistant profession.
- High emotional intelligence, self-awareness and a low-ego, team-first approach.
- A track record of going beyond the basics — you don't just complete a task, you elevate it, and you take pride in details others might overlook.
- Confidence handling constantly shifting priorities, sensitive information and frequent high-stakes, last-minute requests.
- Succinct written and verbal communication, with the confidence to act decisively.
- Strong learning agility and the ability to quickly understand a complex business.
- Comfort using Google Suite, Slack and modern productivity tools.
- Experience using AI tools to improve productivity or communications is welcomed.
Working style and rewards:
This is a permanent, full-time Executive Assistant position in Sydney. Typical hours begin around 8.00–8.30am and finish around 5.00–5.30pm. Sustainable work-life balance is valued, with occasional urgent matters outside standard hours handled with good judgement.
