The role
As Fleet Coordinator you run the day to day of our vehicle and equipment fleet. You book the servicing, stay on top of registrations and inspections, sort the repairs, track what it all costs, and keep the records straight. You are the first person an employee calls when something is wrong with their vehicle.
You will be based at our Loganholme depot, working Monday to Friday and reporting directly to the General Manager. It is a hands on role with real ownership. Nobody else is doing this, so you will shape how it runs.
What you will be doing
- Coordinate the day to day running of the vehicle and equipment fleet so it is safe, compliant and ready for the work booked in
- Book and track servicing, maintenance, registrations, inspections and repairs, and keep downtime to a minimum
- Be the first point of contact for all employees assigned a company vehicle, including allocation, handover and return
- Check fleet assets meet health, safety and regulatory requirements, and escalate any risk or non compliance to the General Manager
- Monitor vehicle telematics and use the data to flag safety and driver behaviour issues
- Track fleet costs including fuel, EV charging, tolls, tyres, servicing and repairs, and report on them against budget
- Raise purchase orders and verify supplier invoices within delegated limits
- Book work with external suppliers and service providers, and chase turnaround, quality and warranty
- Keep fleet records, registers and compliance documentation accurate and up to date
- Report fleet incidents and damage, gather what is needed for insurance, and follow through to resolution
- Work with HR and Operations on vehicle allocation for new starters and departures
- Apply our fleet policies and suggest improvements where you see a better way
What you will bring
- Experience in fleet coordination, vehicle or workshop scheduling, logistics administration or a similar operational role
- A practical understanding of vehicle safety, registration and compliance requirements
- Confidence juggling servicing, repairs and vehicle availability when everything is needed at once
- Comfort with fleet systems, telematics or tracking tools, or the ability to pick them up quickly
- Strong organisation, record keeping and reporting skills, with genuine attention to detail
- The ability to hold your ground with suppliers and stay easy to deal with for the crews
- Clear, direct communication and a solutions focused approach
- A current and valid Australian driver licence
Nice to have
- Experience in solar, electrical, construction, utilities or another trades based field service business
- Experience tracking fuel, EV charging and running costs across a mixed fleet
- Exposure to a multi site or multi state fleet
