About the role
We are seeking a professional, enthusiastic and confident team player to be responsible for end to end event co-ordination and delivery on behalf of the Society. You will be required to organise and coordinate corporate events and marketing campaigns throughout the busy calendar year. Working with two other part-time staff members, a board consisting of 16 volunteers and 150 additional volunteers, you will be an essential member of this fast-paced team, all working together to ensure the success of one of the most reputable and highly regarded societies in the Perth subsea and underwater industry.
A typical working week will comprise of 21 hours worked over 3 days with Tuesdays being in the office. You must be able to work some early mornings, evenings and Fridays (when arranged well in advance) to support the delivery of events. Flexible working arrangements may also be agreed, including an amount of home-based work and TOIL. There is no work required on the weekend. Minimal events are planned during the School Holiday periods. Our small office is located in West Perth (near City West train station) and is easily accessible via train or CAT bus from the city, though paid parking is very close by also. Meetings may occasionally be held in the CBD though you will only require a vehicle on event days.
Key responsibilities
- End-to-end event coordination including speaker, delegate and sponsorship coordination
- Venue coordination (including site inspections)
- Supplier coordination (AV, printing, entertainment, etc.)
- Onsite event management including course facilitation
- Registration management (Eventbrite)
- Managing volunteers
- Event budget management
- Pre/post event administration (including satchel packing, printing name badges, etc.)
- Recording delegate feedback and implementing any changes to future events
- Advertising events and society initiatives through social media – specifically LinkedIn, Instagram and MailChimp
About you
- Relevant event coordination and/or marketing experience
- Experience running Conferences and Courses
- Strong networking skills – must be comfortable socialising in large groups
- Skilled user of Microsoft Office (Outlook, Word, Excel, Publisher, PowerPoint)
- Flexible/adaptable with work times – must be able to work early mornings, evenings and Fridays as per pre-planned events schedule
- Own transport (for event days/occasional meetings)
- Organised, motivated, and customer-focused individual with incredible attention to detail
- Excellent communication skills (verbal and written)
- Confident decision-maker who works well under pressure
- Ability to work autonomously and collaboratively in both small and large teams
About us
The Perth Branch of the Society for Underwater Technology (SUT) is a not-for-profit society, formed in 2004. The SUT is a multi-disciplinary learned society bringing together individuals and organisations with a common interest in underwater technology, ocean science and offshore engineering. We have members in more than 30 countries, including engineers, scientists and other professionals working in these areas. We hold regular technical corporate events including courses, technical evenings, conferences, site visits plus a few social events through the year in and around Perth. Event attendee numbers range from 10 – 200 participants.
