About the role

This is an exciting opportunity to provide administrative and operational support to the academic teaching programs within the School of Medicine, contributing to the effective delivery of teaching, assessment and simulation activities.

As an Administrative Officer in Faculty Services – Medicine, you will work collaboratively with academic staff, skilled colleagues and internal and external stakeholders to coordinate services, support key activities and processes, and help ensure a positive experience for staff and students.

You will work with increasing independence, managing competing priorities, applying judgement to resolve issues and contributing to continuous improvement across processes and services.

In this role, you will:

- Contribute to effective site operations, supporting staff and students during routine teaching periods and high-stakes activities such as assessments and specialist teaching days.
- Undertake a range of administrative and operational tasks, including preparing and formatting documentation, assisting with room bookings, maintaining accurate records and supporting site-specific administrative needs.
- Support the planning and delivery of clinical and written assessments, including coordinating logistics, assisting with the recruitment of simulated and volunteer patients, setting up venues and helping ensure assessments run smoothly on the day.




- Provide logistical and operational support for School of Medicine governance activities, including meeting agenda preparation and secretarial support for site-based or program-level committees.
- Build productive relationships with stakeholders, provide advice and support within the role's area of expertise, and contribute to improvements in processes, systems and practices.

We're looking for an organised, proactive and collaborative professional who can manage competing priorities, communicate effectively and provide high-quality administrative support in a dynamic environment.

You will bring:

- Relevant qualification and/or equivalent experience and training.
- Experience providing advice, guidance, or support services.
- Strong communication skills with the ability to build effective stakeholder relationships.
- Demonstrated ability to interpret procedures, exercise sound judgement, and solve problems.
- Proven organisational skills, including managing competing priorities, analysing information, and contributing to continuous improvement.
