About the job

The Administration Support Officer provides operational support to the Senior Administration Officer and Practice Manager of headspace Craigieburn to ensure the effective delivery of all administrative functions.

Reporting to the Practice Manager you will:

- Provide exceptional front-of-house and administrative support, delivering a welcoming, professional, and youth-friendly experience for clients, families, and visitors.
- Manage appointments, referrals, and client records, ensuring accurate data entry, privacy compliance, and efficient use of medical software systems.
- Coordinate clinical administration activities, including pathology tracking, Medicare billing support, recalls, waitlists, and follow-up of client appointments and outcomes.
- Support smooth day-to-day centre operations, including phone enquiries, room bookings, supply management, infection control procedures, and emergency response processes.
- Work collaboratively within a multidisciplinary team, contributing to continuous improvement initiatives, staff training, professional development, and the promotion of safe, inclusive, and client-centred care.

Skills and experience

The following criteria must be met for consideration for this position:





- Proven experience providing high-quality reception and administrative support, with a strong commitment to confidentiality, accuracy, and customer service.
- Strong computer literacy, including Microsoft Office, databases, medical software, and the ability to quickly learn new systems and processes.
- Excellent communication skills, with the ability to engage positively with young people, families, and a range of health and community stakeholders.
- Knowledge of youth health and wellbeing, privacy requirements, and the principles of inclusion, diversity, early intervention, and client-centred care.
- Highly organised and proactive, with strong problem-solving skills, attention to detail, and the ability to manage competing priorities in a team environment.

Our headspace sites operate after 5pm multiple times a week, availability to work across rotating shifts required.

This is a part-time (0.8 FTE), ongoing position.
