low-maintenance rituals rather than dramatic transformations.Role OverviewThe Fulfilment & Customer Experience Coordinator is responsible for the smooth end-to-end flow of retail orders — from processing through to delivery — while ensuring retailers and customers receive timely, professional support at every touchpoint.
Working closely with 3PL partners, the Global Fulfilment Manager, and senior account contacts, this role coordinates across order operations, customer queries, and chargeback administration to keep the business running accurately and efficiently.Key ResponsibilitiesOrder & Fulfilment OperationsProcess and enter incoming orders accurately and in a timely mannerProcess order amendments and cancellations prior to dispatch cut-offMonitor daily order dispatch activity and tracking updatesFollow up with 3PL providers regarding delayed or missing ordersUpdate internal systems with shipment and order informationFlag EDI order transmission errors to the Global Fulfilment ManagerSupport administrative tasks relating to order processing and dispatch,



including daily dispatch and order exception reportingEscalate fulfilment issues where appropriateCustomer Experience & SupportRespond to customer email enquiries relating to shipping, tracking, and delivery updatesProcess customer returns and refund or replacement requests, liaising with 3PL partners as requiredLog, tag, and triage enquiries within the shared customer service inbox/ticketing systemProvide professional and timely customer communicationEscalate complex customer issues or complaints to senior team membersAssist with collecting and organising supporting documentation for chargeback disputesMaintain organised records of chargebacks and customer claimsWhat We're Looking ForA positive, can-do attitude and a willingness to learnAbility to communicate clearly, both verbally and in writingDetail-oriented and highly organisedAble to accurately enter and maintain data across systemsIntermediate computer skills, particularly Microsoft Office; experience with NetSuite is a bonus but not essentialWhy Join UsWe're at an exciting stage, growing quick, building smart, and this is a rare chance to get real, hands-on experience in beauty and retail, learning how major retail partners work, from the inside.
