Workplace Coordinator | Property Services

About the Role

We are looking for a friendly, organised and proactive Workplace Coordinator to join our Property Services team. As the first point of contact for employees, visitors, external stakeholders and members of the Wider Church, you will help create a welcoming, professional, safe and efficient workplace environment.

This varied role combines front-of-house services with workplace, facilities and administrative coordination. You will manage reception, meeting rooms, workplace inductions, office supplies, access control, parking and fleet vehicle bookings, while supporting the smooth day-to-day operation of our Sydney CBD office. This is an excellent opportunity for an experienced coordinator who enjoys helping people, taking ownership and keeping a busy workplace running well.

Key Responsibilities

- Provide a qualified, friendly and welcoming reception experience for visitors, contractors and Uniting Church members.

- Manage incoming calls, visitor sign-in processes, mail, deliveries and the presentation of the main reception area.

- Coordinate boardroom and meeting room bookings, including room set-up and pack-down.

- Lead workplace inductions for new staff, including welcome information, amenities, emergency procedures and hot desk bookings.

- Act as the primary office contact for day-to-day workplace matters and coordinate requests with building management, contractors and trades.

- Manage the hot desk booking system and develop clear how-to resources for staff.

- Monitor shared spaces, kitchens and contracted cleaning services to ensure workplace standards are maintained.

- Coordinate company fleet vehicle bookings and maintain accurate booking records and schedules.

- Manage office consumables,



stationery and kitchen supplies, and maintain positive supplier relationships.

- Administer office access control and key management, including issuing, updating and deactivating access.

- Support office moves, workspace reconfigurations, catering and workplace events as required.

- Act as a designated Floor Warden and/or Fire Warden and support emergency preparedness and evacuation procedures.

About You

- Minimum two years’ experience in a reception, office coordination, workplace coordination, facilities coordination or similar administration role.

- A warm, professional and service-focused approach, with excellent interpersonal skills.

- Strong organisational and time management skills, with the ability to manage competing priorities and meet deadlines.

- The ability to work autonomously while contributing positively within a close team environment.

- Excellent attention to detail and a proactive approach to identifying and resolving workplace issues.

- Excellent written and verbal communication skills.

- Strong problem-solving, analytical thinking and decision-making skills.

- High proficiency in Microsoft 365 and confidence learning recent platforms and technologies.

- The ability to build positive relationships with staff, visitors, suppliers, contractors and other stakeholders.

- Demonstrated professionalism, discretion and ability to maintain confidentiality.

- A willingness to work within the ethos and values of the Uniting Church in Australia.
