About Us
When people talk about the Flying Doctor, thoughts generally turn to red-bellied planes undertaking rescue missions in the Outback. However, the current Victorian story is one that reflects today's challenges for people living in remote and rural communities across the state. While we do still transport people by air and by road, this work is complemented by a range of primary health services that address the most common issues people living in country Victoria face when accessing health care.
About the Role
We're seeking an experienced healthcare administration professional to lead our Health Programs Administration team and ensure our clinics, clinicians and support services operate efficiently and effectively.
This role combines people leadership, clinic operations, appointment utilisation, stakeholder engagement and service coordination. Leading a team of six administration staff, you'll play a key role in keeping our specialist, wellbeing and oral health services running smoothly while supporting high-quality experiences for patients, clinicians and partner organisations.
Reporting to the Service Operations Manager, you'll over sea a team responsible for appointment scheduling, clinician support, telehealth administration, enquiries, referrals, billing and operational coordination across a range of health programs
Key responsibilities include but not limited to:
- Leading and developing a team of Operations Administrators and Program Officers
- Supporting specialist, wellbeing and dental services across multiple locations
- Managing clinician schedules and ensuring clinics are fully utilised
- Overseeing appointment management, waitlists, cancellations and service capacity
- Supporting Medicare billing, claiming and reporting activities
- Building strong relationships with clinicians, partner organisations and internal stakeholders
- Identifying opportunities to improve and standardise operational processes
- Supporting quality, compliance and contract requirements
- Working collaboratively with internal health program teams to ensure service delivery objectives are achieved
To be successful, you will need:
- Experience in healthcare administration, clinic operations or practice management
- Strong knowledge of medical terminology and healthcare administration processes
- Experience with Medicare billing, claiming or health funding processes
- Demonstrated experience leading and developing administrative teams
- Experience supporting telehealth, specialist or community health services
- Strong stakeholder management and relationship-building skills
- An ability to balance competing priorities in a busy healthcare environment
- A continuous improvement mindset and the ability to standardise and strengthen operational processes
- Satisfactory completion of safety screening including a current Working with Children's Check, National Police Check,
and the right to work in Australia.
