Company Description: Red Soup Speech Pathology provides speech pathology services to adults and children with acquired brain injuries, including traumatic brain injury, stroke, and progressive neurological conditions. The team supports clients experiencing communication challenges, including speech, language, cognitive communication, social communication, and swallowing difficulties related to injury or illness. Services are offered both in clinics and on a mobile basis, with visits to homes, workplaces, and community settings across much of South-East Queensland and the Australian Capital Territory. Clinics are located in Upper Mount Gravatt, Qld, and Deakin, ACT, and the organisation focuses on client-centred, functional support in everyday environments.
We are looking for an organised, reliable Administration Assistant to join our team part time (approx. 20-25 hours per week), based in Canberra. This is a genuinely varied role at the heart of our clinic's day-to-day operations, helping us stay accountable, consistent, and running smoothly, while taking the administrative load off our clinical team so they can focus on what they do best.
What you'll be doing:
- Greeting and welcoming clients as their first point of contact
- Scanning and managing documentation
- Generating clinical and operational reports
- Assisting in the initial preparation of reports
- Housekeeping duties to keep our space presentation-ready
- Supporting internal audits and compliance checks
- Managing stock levels and placing orders
- General administrative support such as scheduling, correspondence,
data entry, filing, phone and email management, and other day-to-day AA duties as needed
Whom you'll work with:
You’ll work closely with our Director, who splits time across our Canberra and Brisbane locations, as well as our Administration Manager based in Brisbane. You’ll be a key component in keeping communication and processes consistent across both sites.
Qualifications
- Strong Administrative Assistance and Clerical Skills, including scheduling, data entry, and document management.
- Professional Phone Etiquette and clear, respectful Communication with clients, families, and team members.
- Experience in Executive Administrative Assistance or similar roles supporting busy professionals or clinical teams.
- Proficiency with office software (e.g., Microsoft Office or Google Workspace) and practice management systems or willingness to learn.
- Attention to detail, strong organisational skills, and the ability to manage multiple tasks and priorities.
- Reliability and ability to work independently in a hybrid environment, maintaining confidentiality and privacy standards.
- Previous experience in healthcare or community services administration is desirable.
- Relevant certificate or diploma in business administration, office administration, or equivalent experience is beneficial.
- National Police Check and Working With Vulnerable People card.
