Position objective

The Team Assistant provides reliable, proactive and high quality administrative and coordination support across the Sydney business team. Your role is helping the teams operate efficiently and deliver excellent outcomes for clients and internal stakeholders.

Team and administrative support

- Provide day-to-day administrative support to assigned teams, leaders and project groups.




- Manage calendars, schedule meetings and coordinate internal and external appointments as required.
- Monitor shared inboxes, respond to routine queries and elevate matters appropriately.
- Support smooth office operations by completing administrative tasks accurately and on time.

Meeting and workflow coordination

- Managing the executive/s diary, coordinate travel arrangements and schedule and support meetings to facilitate the effective management of their agenda.
- Coordinate meeting logistics, including room bookings, technology set-up, agendas and supporting materials.
- Prepare and distribute meeting papers, packs and follow-up documentation in a timely manner.
- Capture actions, track progress and assist team members to follow through on agreed deliverables.

Document, reporting and presentation support

- Maintain consistent document standards, including version control, naming conventions and record keeping.
- Assist with data collation, simple reporting and preparation of routine business updates.

Office General

- Overseeing and coordinating the delivery of administrative and support services to ensure that business needs are met, including first level IT support, invoicing, and supplier payments.




- Maintaining and updating administrative practices, systems and procedures to improve efficiency and service delivery and ensure compliance with Frontier’s standards, policies and procedures.
- Managing office facilities and logistics, including office management tasks as directed.
- Ensuring that all information is up to date and that team members are aware of procedures and obligations regarding emergency evacuations, health, safety and IT security.

Knowledge/skills/experience

- High levels of computer literacy including knowledge of the Microsoft Office Suite
- Previous administrative experience in a professional services environment.
- Diary and calendar management experience coordinating meetings, managing conflicting priorities, and arranging travel.
- Document and correspondence management – formatting proposals, reports, presentations, and client communications.
- Stakeholder coordination – liaising with clients, executives, and internal teams in a professional environment.
