About the role

Whilst a full-time role is being advertised, a part-time and/or job-share position is potentially available to the right candidate.

We are seeking a dedicated and skilled Receptionist to join the Davoren Associates team at our Surfers Paradise office. This is a vital role in creating the first impression for our clients and ensuring the smooth day-to-day operations of our office. As Receptionist, you will be the key point of contact for clients, visitors, and callers, providing exceptional service whilst managing administrative tasks that keep our office running efficiently. This position is crucial to the success of both our legal and funds management divisions.

What you'll be doing

- Greeting clients, visitors, and callers in a professional and courteous manner, ensuring they feel welcomed and valued

- Managing incoming and outgoing telephone calls, taking messages accurately and directing calls to the appropriate staff members

- Receiving and processing mail, parcels, and deliveries, maintaining proper logging and distribution procedures

- Scheduling appointments and meetings, liaising with staff to ensure calendar accuracy and client satisfaction

- Maintaining the reception area and office to a high standard of cleanliness, organisation, and professionalism

- Performing general administrative duties including data entry, filing, and document preparation

- Assisting with file setup and client check-in procedures

- Supporting office administration by liaising with service providers and managing office supplies





- Providing support during busy periods and assisting other team members as required

What we're looking for

- Proven experience working as a receptionist or in a similar customer-facing administrative role

- Excellent communication and interpersonal skills with the ability to remain qualified and courteous in all interactions

- Strong organisational abilities and attention to detail

- Proficiency in using Microsoft Office and general computer applications

- The ability to manage multiple tasks simultaneously and prioritise effectively

- A professional demeanour and the ability to represent the firm positively to clients and visitors

- Excellent telephone etiquette and call management skills

- Experience in a legal environment or professional services firm is highly desirable

- Strong customer service orientation and problem-solving skills
