IKON delivers integrated property and facility services, including commercial cleaning, hygiene and washroom services, property services, and waste management solutions. Our operations depend on clearly defined service agreements, reliable contractor performance and consistent service delivery across client sites.

We are seeking a Contract Administrator to administer property services contracts and associated supplier and contractor agreements, ensuring contractual requirements are understood, documented and met.

About the Role

You will manage day-to-day contract administration from commencement through to completion or renewal. Working with operational teams, clients, suppliers and contractors, you will review contract terms, assess performance against contractual obligations, and prepare and administer variations.

This role requires sound judgement when reviewing service requirements, costs and supporting evidence, with matters outside your authority referred to management for approval.

Key Responsibilities

· Review and interpret service agreements, scopes of work, pricing schedules and contract conditions, and clarify obligations with relevant stakeholders.

· Maintain contract registers, supporting documentation and schedules covering commencement dates, milestones, extensions, renewals and expiry dates.

· Prepare and review contract documentation, purchase orders and work orders, ensuring consistency with agreed scopes, rates and approval requirements.

· Assess service delivery and contractor performance against contractual deliverables, service levels and KPIs, identifying shortfalls and coordinating corrective action.

· Review proposed variations, including changes to service scope, frequency,



pricing and completion dates; assess supporting evidence and cost implications, participate in discussions with relevant parties, and document agreed changes following approval.

· Coordinate contract extensions, amendments and renewals, identifying matters requiring management review before commitments are made.

· Liaise with contractors, suppliers and operational teams to resolve contract queries, follow up outstanding work and address performance issues or disputed charges.

· Review invoices and quotations against contract rates, approved variations and evidence of completed work, investigating discrepancies before payment processing.

· Monitor contract expenditure, commitments and variations, and contribute to financial reporting and forecasting.

· Coordinate planned and reactive maintenance work within agreed service arrangements, tracking work orders and completion records.

· Verify that contractor insurance, licences, qualifications and required compliance records remain current.

· Prepare reports on contract status, expenditure, contractor performance and outstanding obligations, and maintain records for audits.

Qualifications and Experience

· A relevant qualification at Diploma level or above in Project Management, Construction Management, Civil Engineering or a related field.

· At least one year of full-time relevant work experience in contract administration, including reviewing contracts, monitoring contractual performance and handling variations.

· Ability to interpret contract terms, service specifications and pricing arrangements.

· Effective communication and stakeholder coordination skills, with the ability to resolve routine issues and recognise when escalation is required.

· Positive organisational skills and the ability to manage competing deadlines
