Role Description
The Executive Assistant is a full-time, on-site role based in the Greater Brisbane Area. This position provides high-level executive administrative support, including managing calendars, coordinating meetings, preparing agendas, and organizing travel and accommodation. The Executive Assistant will handle correspondence, draft and format documents, assist with presentations, and maintain accurate records and filing systems. Day-to-day responsibilities also include preparing and reconciling expense reports, supporting the coordination of events and training programs,
and liaising with internal and external stakeholders to ensure smooth communication and workflow. The role requires maintaining confidentiality, prioritizing multiple tasks, and proactively identifying ways to improve administrative processes and executive support.
Qualifications
Solid executive administrative assistance and general administrative assistance skills, including calendar management, meeting coordination, and document preparation.
Experience providing executive support to senior leaders, with the ability to anticipate needs and manage competing priorities effectively.
Proficiency in preparing, tracking, and reconciling expense reports and managing related financial documentation.
Excellent communication skills, both written and verbal, with the ability to interact professionally with diverse stakeholders.
Advanced skills in office productivity tools (e.g., Microsoft Office or similar), and strong attention to detail and accuracy.
Proven organizational and time-management abilities, with a focus on confidentiality and discretion.
Experience in government, not-for-profit, or member-based organizations is an advantage.
Relevant qualification in business administration, office management, or a related field, or equivalent work experience.
