Role Overview
The Fulfilment & Customer Experience Coordinator is responsible for the smooth end-to-end flow of retail orders — from processing through to delivery — while ensuring retailers and customers receive timely, professional support at every touchpoint. Working closely with 3PL partners, the Global Fulfilment Manager, and senior account contacts, this role coordinates across order operations, customer queries, and chargeback administration to keep the business running accurately and efficiently.
Key Responsibilities
Order & Fulfilment Operations
Process and enter incoming orders accurately and in a timely manner
Process order amendments and cancellations prior to dispatch cut-off
Monitor daily order dispatch activity and tracking updates
Follow up with 3PL providers regarding delayed or missing orders
Update internal systems with shipment and order information
Flag EDI order transmission errors to the Global Fulfilment Manager
Support administrative tasks relating to order processing and dispatch, including daily dispatch and order exception reporting
Escalate fulfilment issues where appropriate
Customer Experience & Support




Respond to customer email enquiries relating to shipping, tracking, and delivery updates
Process customer returns and refund or replacement requests, liaising with 3PL partners as required
Log, tag, and triage enquiries within the shared customer service inbox/ticketing system
Provide qualified and timely customer communication
Escalate complex customer issues or complaints to senior team members
Assist with collecting and organising supporting documentation for chargeback disputes
Maintain organised records of chargebacks and customer claims
What We're Looking For
A positive, can-do attitude and a willingness to learn
Ability to communicate clearly, both verbally and in writing
Detail-oriented and highly organised
Able to accurately enter and maintain data across systems
Intermediate computer skills, particularly Microsoft Office; experience with NetSuite is a bonus but not essential
