Customer Service Administrator & Scheduler
Are you an experienced administration or customer service professional who takes pride in being organised, dependable and professional?
We are looking for a confident and composed Customer Service Administrator & Scheduler who enjoys working in a structured environment, takes ownership of their responsibilities and understands the importance of providing a consistently professional experience to clients and colleagues.

About the role
As a Customer Service Administrator & Scheduler, you will play an important role in ensuring our clients receive a professional and productive service from their first interaction with Humanity Health Group.
Your responsibilities will include:
- Coordinating and scheduling appointments across busy clinician calendars
- Providing professional customer service over the phone and via email to clients and stakeholders
- Managing initial enquiries and referrals and guiding customers through our referral process
- Generating quotes and following up on outstanding approvals
- Communicating with support coordinators regarding referrals and appointments
- Booking appointments for our clinicians and proactively managing scheduling changes
- Maintaining accurate records and ensuring administrative tasks are completed to a high standard
- Working collaboratively with colleagues while taking ownership of your individual responsibilities
- Communicating professionally and respectfully across all levels of the organisation
- Remaining calm, organised and solutions-focused when priorities change or workloads increase
About you
We are particularly interested in hearing from candidates who have established experience in administration, scheduling, customer service, healthcare administration or a similar professional environment.
To be successful, you will:
- Have previous experience scheduling and coordinating appointments
- Have previous administration, customer service, reception or contact centre experience
- Ideally have experience within the NDIS, allied health, healthcare or a related industry
- Bring a professional, respectful and considered approach to workplace communication
- Be dependable and comfortable taking accountability for your responsibilities
- Have the confidence to manage challenging conversations professionally and constructively
- Be able to maintain appropriate confidentiality and discretion when dealing with sensitive client or workplace information
- Be organised and capable of managing competing priorities without losing attention to detail
- Have excellent written and verbal communication skills
- Have strong computer skills, including Microsoft Office
- Be self-motivated and comfortable working independently as well as collaboratively
- Be receptive to feedback and committed to continuously improving
- Contribute positively to a respectful, supportive and professional team environment
- Have a genuine interest in providing an excellent experience for clients and stakeholders
