ABOUT THE ROLE

In this role, you will coordinate the College's academic and corporate governance committees, ensuring meeting cycles run to schedule and that decisions, resolutions and actions are accurately recorded and followed through. Working closely with the Quality Assurance Manager, you will maintain governance records, registers and terms of reference, support chairs and committee members with well-prepared papers, and help ensure the College's governance arrangements operate effectively and in line with regulatory requirements, contributing to the delivery of high-quality education outcomes and supporting the College's strategic objectives.

KEY RESPONSIBILITIES

Governance Bodies and Meeting Cycles

- Coordinate key governance bodies, including the Academic Board, Learning and Teaching Committee, VET Council and Board of Examiners, ensuring each operates in line with its terms of reference
- Manage governance meeting cycles, including annual meeting calendars, agendas, papers, minutes, resolutions and action tracking
- Support chairs and committee members with timely, well-prepared meeting papers, and provide procedural advice on meeting conduct, quorum and voting requirements

Governance Records and Registers

- Maintain governance records and registers, including terms of reference, memberships, appointments, delegations and declarations of interest
- Record and maintain an accurate register of committee decisions, resolutions and approvals, ensuring records are complete, current and retrievable
- Maintain version control and secure storage of committee documentation, in line with the College's document control and records management standards
- Prepare governance documentation and evidence for internal and external review, including registration, re-registration and regulatory engagement

Governance Effectiveness and Reporting

- Track governance actions and resolutions through to completion, following up with action owners and escalating outstanding or overdue matters
- Support governance effectiveness activity, including committee self-assessment, terms of reference reviews and annual reporting on governance
- Prepare governance reporting for the Quality Assurance Manager, the Head of Quality and Compliance and relevant governance bodies

Quality and Compliance Support

- Support implementation of the institutional Quality Management System, including quality assurance and continuous improvement activity relevant to governance
- Support the policy lifecycle, including consultation, approval workflows,



publication and scheduled review of policies and procedures
- Ensure governance practice aligns with the Higher Education Standards Framework, the Standards for RTOs and the College's delegations and constitutional requirements
- Build effective working relationships with academic and corporate staff, committee members and external appointees

QUALIFICATIONS AND EXPERIENCE

Essential

- Qualification in business, administration, governance, education or a related discipline, or equivalent relevant experience
- Demonstrated experience in a governance, committee secretariat or senior administrative role
- Demonstrated experience preparing agendas, papers and minutes for formal committees, and tracking resolutions and actions through to completion
- Sound working knowledge of governance principles, including delegations, quorum, conflicts of interest and confidentiality
- Solid written communication skills, with proven minute-taking and report writing ability
- High level of accuracy and attention to detail in record-keeping, version control and document management
- Proven ability to manage competing deadlines across a cyclical committee calendar

Desirable

- Experience in Australian higher education, VET or another regulated environment
- Working knowledge of the Higher Education Standards Framework, the Standards for RTOs, or the ESOS Act and National Code
- Experience administering board, committee or governance management software
- Formal training in company secretarial practice or corporate governance (e.g. Governance Institute of Australia)

- Strong organisational and planning skills, with the ability to manage a recurring committee calendar end to end
- Accurate and concise minute-taking, capturing decisions, rationale and actions clearly
- Sound judgement and discretion when handling confidential and sensitive committee material
- Effective stakeholder engagement, with the confidence to work with senior staff, chairs and external members
- Systems and records literacy, with the ability to maintain registers, repositories and version control




- Problem-solving and initiative in resolving scheduling, quorum and documentation issues
- Understanding of governance accountability, including delegations, conflicts of interest and reporting obligations
