About the role
Pacific Building Management Group is seeking a dedicated HR & Office Administrator to join our team on a full-time basis at our Rydalmere office. This is a pivotal administrative and human resources support role that combines office management responsibilities with core HR functions. You will be instrumental in ensuring our office operates smoothly while supporting the human resources needs of our growing organisation. This role is essential to maintaining our workplace culture and operational efficiency.
What you'll be doing
Manage the end-to-end recruitment process, including job postings, candidate screening and interviews and completing reference checks
Prepare employment contracts and other HR documentation, and support the onboarding process for new hires, including orientation and training coordination and off-boarding
Maintain employee records and ensure all documentation is maintained accurately and compliant with regulations.
Manage and action employee lifecycle changes, including probation reviews, promotions, transfers and employment changes
Respond to employee inquires and provide HR support and guidance to employees and managers on policies, procedures and employment-related matters
Assist in the preparation of HR reports and presentations as required.
Managing last-minute changes, emergency fills and site requirements
Liaise with building management, cleaners, suppliers and service providers and coordinate maintenance as required
Supporting the Ops Manager and General Manager with coordination and light admin
Providing administrative support to senior management and HR personnel
What we're looking for
Proven experience in a combined HR and/or office administration role,
or substantial experience in either field with willingness to develop the other
A degree in Human Resources is advantageous but not essential
Experience coordinating recruitment, onboarding and employee administration
Ability to handle confidential and sensitive information with professionalism and discretion
Strong organisational and time-management skills with the ability to manage multiple priorities effectively
Excellent written and verbal communication skills
Proficiency with Microsoft Office applications (Word, Excel, Outlook) and HR management systems
Attention to detail and accuracy, particularly with record-keeping and data entry
Ability to work independently and as part of a collaborative team
