Job Description
About The Role
n
To manage the day‐to‐day operational functions within the Reception Guest Relations Teams and support GR Central (Switchboard, MRBS, Admin) when required. To also command a strategic outlook to innovate and enhance Guest Relations operations.
n
What You'll Do
n
n
- Provide supervisory guidance and support for Reception teams, including resolution handling, feedback management, standards & client service delivery.
n
- Co‐ordinate catering, audio‐visual and equipment requirements requested by the client with third‐party providers.
n
- Manage MRBS – assist with booking future and same‐day reservations, cancellations and/or amendments to bookings as per the client's requests.
n
- Support the Guest Relations Managers with providing feedback for Senior Associate's performance reviews and personal development goals, ensuring objectives are met by the team and clear understanding of department's KPIs.
n
- Lead by example: encourage and motivate staff, provide constructive feedback and corrective coaching when needed, with a solutions‐focused mindset.
n
- Assist administrative duties: work order reporting or project work such as recruitment, development coaching, rosters/breaks, monthly reporting, timesheets, leave management and ensuring team grooming is in line with style standards.
n
- Provide leadership support in the absence of the Guest Relations Manager, including sharing client or colleague feedback in a timely manner.
n
- Project lead for workplace activations,
Toolbox Talk training and communications meetings; contribute to online platform posts and engage with client activations to benefit CBRE and Macquarie.
n
- Gain knowledge of key personnel and vendors locally/regionally within CBRE & Macquarie (Catering, Facilities Management, Tech, Procurement, Executive Committee and Directors).
n
- Maintain roster flexibility and availability for VIP client events and team leave.
n
- Ensure strict compliance with client/company WHS policies and access relevant WHS resources.
n
- Report all incidents within specified timeframes.
n
- Carry out, report and record monthly and quarterly inspections, ensuring accurate remediation of defects or non‐compliances, liaising with correct vendors and partners.
n
- Where applicable, induct vendors to site‐specific situations and keep records.
n
- Carry out comprehensive and effective work safety and risk mitigation procedures, including Harbor observations.
n
- Carry out and keep records of safety and spot checks demonstrating commitment to WHS.
n
- Setup WFH (if applicable) and equipment to adhere to company's WHS standards.
n

What You'll Need

- Leadership, delegation and management / supervisory skills.
n
- Strong organisational and time‐management skills and high level of attention to detail.
n
- Strong verbal and written communication skills – ability to communicate at all levels.
n
- Excellent personal presentation.
n
- Complaint handling – able to resolve problems as they arise in an appropriate manner.
n
- Experience in a corporate or five‐star hotel workplace or event management.
n
- Administrative skills – Word, PowerPoint, Zoom, Excel and Outlook are desirable.
