Job Overview

Our client is seeking a Hair Restoration Appointment Setter to serve as the first point of contact for prospective clients, managing the entire appointment lifecycle from initial outreach to confirmed bookings. Working directly with warm leads generated through paid advertising, you will use the clinic's CRM system to contact prospects within minutes of inquiry, nurture relationships through strategic follow-up, and ensure clients show up for their scheduled appointments. This role is critical to the clinic's growth trajectory, and your ability to convert leads efficiently will directly impact revenue and client satisfaction.

Client Overview

Our client is a growing health and wellness clinic in Sydney that specializes in hair restoration treatments. Launched less than a year ago, the clinic is experiencing rapid growth with over 100 leads generated monthly through Google and Meta advertising campaigns. They’re scaling quickly and need dedicated support to maximize conversion rates and client experience.

Schedule

- Flexible during AEST (20 hours per week)

Responsibilities

- Manage all incoming leads from Meta advertising campaigns through the Go High Level CRM platform.
- Contact new leads within five minutes of inquiry via phone and email.
- Conduct systematic follow-up sequences to nurture prospects who haven't booked yet.
- Schedule appointments and confirm client availability for hair restoration consultations.
- Send appointment reminders and confirmations to reduce no-show rates.
- Maintain accurate records of all client interactions and appointment statuses in the CRM.




- Handle general administrative tasks related to client onboarding and appointment coordination.
- Provide occasional support with email correspondence and basic invoicing tasks as needed.

Requirements

- Proven experience in appointment setting, scheduling, or client coordination roles.
- Background working in health, wellness, beauty, or medical clinic environments.
- Familiarity with CRM systems and ability to learn new platforms quickly.
- Excellent phone communication skills with a professional, warm demeanor.
- Strong follow-up discipline and ability to manage multiple leads simultaneously.
- Comfortable making outbound calls to warm leads throughout the day.
- Reliable internet connection and quiet home office environment.

Qualifications

- Experience using Go High Level CRM specifically is a bonus.
- Prior experience with lead generation from paid advertising campaigns is preferred.
- Understanding of hair restoration, aesthetic treatments, or similar wellness services is a plus.
