The Business Support Officer is responsible for contributing to and delivering accurate and timely administrative and financial office activities, and a welcoming, helpful service to residents, guests and contractors. The Business Support Officer supports the activities of the Village Manager and promotes an inviting, comfortable climate, providing a professional service, and a positive experience for residents, guests and team.
Key responsibilities
Provide support and work collaboratively with the Village Manager in managing day-to-day Village operational activities, queries, planned events and the team
Contribute to the implementation of resident services aligned with the Village strategy through active engagement of the local community and assist with organising and delivering promotional and ad-hoc activities, campaigns, special events, meetings and functions, communications and all associated tasks
Accurately maintain CRM databases and associated registers
Provide front of house reception duties including answering calls and assistance to residents, families, visitors, contractors and the team
Assist with administrative processes and reports associated with residents, resident committees, villas and/or units, databases, the scheduling and delivery of associated resident services, including entry and exit of residents
Assist with monitoring and managing office resources and provide general administrative assistance
Proactively record resident requests/issues into relevant systems to enable responsiveness and resolution
Uphold confidentiality and discretion to the highest standard in all dealings and communications within and regarding the Village, the residents and team members
Create and promote a welcoming feeling for residents, their families and team members during orientation & thereafter promoting a culture of community, service and kindness within a supportive environment
Ensure reception is well organised and contains relevant materials/information for residents and guests to ensure an exceptionally helpful experience and an immaculate aesthetic for the Village
Assist the village manager by providing high-level business support in finance tasks; including accounts payable and receivable, debtor and creditor account enquires, bank-related transactions, filing & archiving, understanding and assisting with end of month processes (EOM)
Maintain contractor compliance & licensing documentation to ensure it is up to date and on file in accordance with WH&S; requirements
Report on progress against objectives to the Village Manager
Adhere to, promote and contribute to improving the company's systems, policies and procedures
Demonstrate collaborative, positive relationships within the team and with residents
About you
Minimum Year 12 education or equivalent and 2 years' experience in office administration and reception
Certificate II in Business Administration is desirable
A sound knowledge of accounts receivable/payable, petty cash and other relevant finance transactions or a willingness to be trained in these processes
Demonstrated customer-centric philosophy combined with an ability to "get things done"
Competent computer skills, specifically MS Office, CRM and XERO systems
Demonstrated high standards of accuracy, accountability, integrity and care
Demonstrated ability to work as an effective team member within a multi-disciplined environment
Personable (relatable) demeanour with a calm measured approach
Readiness to learn current skills and systems and support team as needed in the implementation of new systems, models and procedures
Demonstrated interpersonal sensitivity, empathy and strong communication skills to build rapport and stakeholder engagement
Good organisational and problem-solving skills to achieve client and business outcomes
First Aid certificate with CPR
Provision of a satisfactory national police check, and right to work check
