Business Administration Coordinator

Company: Treloar Civil and Quarries Pty Ltd and associated entities

Employment Type: Full-time preferred; however, part-time arrangements may be considered, including hours structured around school commitments.

Reports To: General Manager

Position Overview

The Business Administration Coordinator is a hands-on role responsible for the delivery of the company's accounts receivable, payroll and business support functions across Treloar Civil and Quarries Pty Ltd and associated entities.

The role has a strong focus on accounts receivable and weekly payroll while also supporting the administration team, coordinating employee training, maintaining the company's Safety Management System, and ensuring business records and administrative processes are maintained to a high standard. Working closely with management and supervisors, this role is integral to the efficient day-to-day operation of the business.

This is a hands-on role responsible for the accurate processing of accounts receivable and weekly payroll, while ensuring financial records are maintained to a high standard. The role also provides administrative and financial support to management and operational teams and contributes to the continuous improvement of business systems and processes.

Working closely with management, supervisors and external accountants, the Business Administration Coordinator plays an important role in maintaining accurate financial information, supporting cash flow, and ensuring the smooth day-to-day operation of the business.

Key Responsibilities

Accounts Receivable & Payroll

- Manage end-to-end accounts receivable, including:

- Raising invoices and progress claims

- Issuing customer statements

- Allocating customer payments

- Following up outstanding accounts and maintaining debtor records

- Perform daily bank reconciliations and maintain accurate cash records.

- Assist with job costing and project financial reporting.

- Maintain accurate financial records for management reporting and external accountants.

- Assist with month-end procedures and financial reconciliations.





Payroll

- Process weekly payroll accurately and on time.

- Verify timesheets and payroll information.

- Apply relevant awards, enterprise agreements and site allowances.

- Process superannuation and payroll reporting requirements.

- Maintain employee payroll records and onboarding documentation.

- Respond to payroll enquiries from employees.

HR Administration

- Support managers with general HR administration and employee documentation.

- Coordinate employee onboarding and offboarding administration.

- Prepare employee correspondence, letters and documentation as required.

- Maintain employee personnel files and HR records.

- Prepare onboarding and employee commencement documentation.

- Prepare employment contracts and employment variation documentation.

Administration & Operational Support

- Maintain company records, compliance documentation and filing systems.

- Assist supervisors with purchase orders, cost coding and job administration.

- Provide administrative support to management as required.

- Assist with tender documentation and supporting schedules where required.

- Coordinate office administration and supplier accounts.

Training & Safety Administration

- Coordinate employee training, inductions and competency records.

- Maintain the company's Safety Management System and associated documentation.

- Assist with WHS administration and compliance records.

Systems & Process Improvement

- Maintain and optimise accounting and payroll systems (WIISE and other business software).

- Identify opportunities to improve accounting and administrative processes.

- Assist with the implementation of improved systems, controls and workflows.





- Support continuous improvement across finance and administration functions.

Key Skills & Experience

Essential

- Relevant qualifications in accounting, bookkeeping or business administration.

- Demonstrated experience in an accounts and payroll role.

- Robust knowledge of:

- Accounts receivable

- Payroll processing

- Bank reconciliations

- High level of accuracy and attention to detail.

- Strong organisational and time management skills.

- Ability to manage competing priorities and meet deadlines.

- Excellent written and verbal communication skills.

- Proficiency with accounting software and Microsoft Office.

Desirable

- Experience using WIISE or similar ERP/accounting software.

- Experience within construction, quarrying, transport or civil contracting.

- Knowledge of industry awards and payroll compliance requirements.

- Experience with job costing.
