About the role

We're looking for a Customer Service & Office Administrator to be the first point of contact for our customers. You'll handle calls, enter orders, manage the inbox and help keep materials ordering on track. The office is attached to the factory, so you'll work closely with production. If a customer asks where their order is, you can walk out and check. It's a working factory environment, so expect some noise and a no-frills setup.

Key responsibilities
Answer customer calls: order status, product questions, pricing and general enquiries
Enter customer orders accurately into our order management system
Manage the customer service inbox and respond to emails promptly
Assist with ordering materials and following up with suppliers
Liaise with the factory on production schedules and dispatch
General office admin: data entry, spreadsheets, filing and whatever else the day needs

About you
Experience in customer service or office administration (phones and email)
High level of computer literacy. You pick up current software quickly




Confident with spreadsheets (Excel or Google Sheets: sorting, filtering, basic formulas)
Strong attention to detail. Our orders are made to measure, so one wrong number means a remake
Transparent, friendly phone manner and valuable written communication
Reliable transport to West Gosford (this is an in office role)
Experience in blinds, awnings, building products or manufacturing (bonus, not essential)
Experience with Buz, Xero or HubSpot (bonus, not essential)

KC Shade is a Central Coast manufacturer of awnings and external blinds. We fabricate everything in our West Gosford factory and supply it to blind and awning businesses and installers. We're a small, practical team that takes pride in getting orders right and out the door on time.
