About the team
The Medical Workforce Unit (MWU) is a dedicated team within the People and Culture Department.
MWU is responsible for providing strategic and operational service, supporting the employment of medical staff and the medical workforce needs of Peter Mac.
Specifically, it provides administrative management support to the Chief Medical Officer, Medical Directors, Department and Unit Heads in the recruitment, contracting, onboarding and rostering of medical staff at Peter Mac.
About the role
In the People and Culture Advisor - Medical Workforce Unit position you will play a vital role in supporting our medical staff, and be responsible for providing efficient and effective administrative services that support the MWU.
Overall, under the guidance of the Medical Workforce Unit Manager, you will be responsible for providing comprehensive, end-to-end operational and advisory support across the full medical workforce lifecycle.
A regular day will see but is not limited to:
Coordinating and processing end to end recruitment, onboarding and employment administration for all medical staff, including Senior Medical Staff, Fellows, Registrars, HMOs, observers and visiting overseas clinicians.
Coordinating and processing credentialing, scope of practice and honorary appointment documentation in line with organisational and regulatory requirements.
Preparing, issuing, varying and terminating medical employment contracts and honorary appointments.
Coordinating and processing visas and immigration requirements for medical staff in liaison with relevant authorities.
Coordinating and processing AHPRA registration and compliance documentation for medical staff.
Publishing, maintaining and monitoring medical staff rosters managed by MWU, including recall and timesheet processing where applicable.

About you
You will be someone with strong written and verbal communication skills with the ability to engage effectively with senior clinical stakeholders.
You'll bring with you:
Demonstrated experience working in a medical workforce unit or similar environment within a health service.
Strong knowledge of medical workforce administration processes, compliance and regulatory requirements.
Sound understanding of HR practices, enterprise agreements, recruitment and employment lifecycle processes.
High level of customer service capability and professional judgement.
Demonstrated ability to manage competing priorities with strong organisational and time management skills.
Competence in Microsoft Office and HR / workforce systems, preferably in a healthcare setting.

ESSENTIAL REQUIREMENTS
Strong written and verbal communication skills
Sound knowledge of HR practices, legislation, enterprise agreements, awards
Understanding / knowledge of Recruitment Best Practice principals and procedures
Strong customer service skills, able to communicate effectively and respectfully with all stakeholders
Demonstrated skills in the use of IT systems, preferably in a health care setting
Competent in use of the Microsoft Office Suite
Excellent organisational and time management skills
DESIRABLE REQUIREMENTS
Qualifications in HR or related field (or progression towards)
Demonstrated experience in medical workforce unit with a minimum of twelve months experience working in a similar level position in a health service
Knowledge and or experience in medical workforce management
Payroll system knowledge / experience
Knowledge and or experience publishing and managing medical staff rosters
Knowledge and or experience processing timesheets and recall claims
Knowledge and or experience credentialing medical staff
Knowledge and or experience processing visas for medical staff
Knowledge and or experience supporting medical staff in the application for registration with AHPRA

Key Accountabilities
Medical Workforce
Under the direction of the Manager Medical Workforce Unit key responsibilities include:
Coordination and processing of recruitment and on boarding of all medical staff (Medical Specialists, Fellows, Registrars, HMOs, observers, and visiting overseas staff)
Coordinate and process the visas for recruited medical staff
Coordinate and process the AHPRA documentation for recruited medical staff
Publish and maintain the medical staff rosters managed by MWU
Coordinate and process end to end requirements of profiles in People Hub (Success Factors) for medical staff profiles
Maintain accurate profiles in conjunction with clinical departments for medical staff including contracted hours and leave cover
Create and maintain medical workforce manuals and documentation for the consistent management of the medical workforce
Provide technical content leadership and expertise
Manage specialist technical portfolio and provide technical leadership and recommendations to management in the designated area of expertise
Develop and present training programs for Medical Workforce as required.
Provide exceptional customer service
Contribute to maintaining the team's high level of customer service to staff within a designated team or portfolio
Proactively respond to staff feedback (positive and negative) in relation to the team and individual's performance.
Contribute to monitoring, reporting and improving team performance
Under the direction of the Manager
Manage reporting requirements as required and provide to the manager and other key stakeholders as required
Trouble-shoot any technical issues experienced in a timely manner to ensure quality is maintained
Proactively identify opportunities for process improvement and collaborate with the team to implement appropriate solutionsAnalyse situations and information, clearly and accurately communicate information and make recommendations to peers and management.
Support the work of the team and department
Proactively participate in meetings and activities within People and Culture
Work cooperatively as part of the team and assist other areas and staff as necessary
Ensure invoices from external providers are collated and processed by the team
Other tasks as directed by your manager or appropriately delegated authority.
Attend and contribute to organisational committees and working groups
Build and maintain relationships with key internal staff and external providers
Work cooperatively with other departments to obtain assistance and / or influence others in the achievement of set objectives.
