Role
An education support class position at this range will perform tasks that are carried out in accordance with guidelines, accepted practice, and school policy under supervision and direction. This may include coordination of other education support class staff within the work area or educational program. An education support class position supports the educational services being provided to students but must not include duties of a teacher as defined in clause 2.6.1 of the Education and Training Reform Act 2006 (Vic) or its successor. Supervision of students can be required individually or in groups up to 4 in controlled circumstances and where the responsibility for students remains clearly with a teacher.
Certification and/or qualifications of up to three years can be required at this level (noting that Registered Nurse is not included at this level, the first level for which is Level 1 range 3).
A role at this range may include:
- Specific support tasks to achieve outcomes. Typically, this will involve accountability for a single function, (e.g. ensuring data is properly maintained) or the co-ordination of a work area under the direction of the principal or a manager.
- Assisting teachers, within an educational program, by undertaking specific support tasks or the coordination of the support function.
- Supervised health and wellbeing support tasks, medical intervention support tasks, or other specialised student/teacher support roles (e.g. enrolled nurses performing the role as described in schedule 3). These roles require specific qualifications and/or training, including roles where further training must be undertaken from time to time. The role is for a specific purpose, for which there will be direct accountability as opposed to support roles that are carried out by a range of staff performing routine tasks under direction.
- Technical tasks that require a sound knowledge of basic technical and/or scientific principles that are used to develop and adapt work methods and make judgements where there are clear guidelines and limited options. Routine technical support in libraries, science, and information technology would be typical examples.
An education support class position at this range commencing at the base will initially be limited to undertaking routine tasks that are carried out under close supervision and direction. Work that carries some degree of independence will generally involve a limited number of tasks performed on a regular basis where priorities are clear, procedures are well established, and direction is readily available. Subject to any specific qualification and/or training requirement, an education support class employee employed in this range may be progressively required to undertake coordination, specialised student/teacher support tasks, or technical tasks as experience in the role is gained.
Responsibilities
Reception
- Under the general direction of the Office Manager the Bayview Receptionist undertakes routine tasks from the following:
- Perform reception duties including the screening of visitors to the campus office, student, parent and telephone enquiries.
- Process family receipts in CASES21 and operate the EFTPOS terminal
- Process daily Compass Pay receipting for the College with the support of the Office Manager.
- Disseminate messages to staff and students and maintain confidentiality of information received.
- Produce the Daily Bulletin for staff and students.
- Maintain the campus key register.
- Mail including recording of outgoing mail
- Receive and check deliveries, arrange temporary storage and alert staff members of delivery.
- Maintain campus photocopiers, organise service, ensure machines are stocked with supplies, provide training/assistance to staff on use and keep the area in a safe and tidy condition.
- Provide support when necessary for the Transition, SEALP and student enrolment processes.
- Assist in the exchange of information between the school and the community.
- Data entry related to student attendance in Compass.
- Ensure that equipment, stationery, and paper supplies are adequate to provide an efficient service to the Principal and Administration team. And Staff room supplies are stocked eg. coffee, tea, cleaning etc
- Prepare related staff officeworks and cos orders and submit them to the Business Manager for authorisation.
- Assist with filing duties
- Ensure the foyer area and administration store room is maintained in a safe and orderly manner.
- Provide administrative support to the Principal and Administration Teams as required.
- Delivery of internal mail between campuses as required.
- Ensure that office notices and procedures are up to date and displayed/filed appropriately.
- Maintain the electronic screens and Compass Kiosk.
- Maintain the lost property department.
- Timely distribution School email to relevant parties.
- Support with student first aid
- Emerging duties as required.
- Create end of term Student Awards
- Set up CRT¿s with relevant information, keys, out of class passes and ipad as needed.
- Evacuation Kit Maintenance and update each term and attend Evacuation Meetings
- Organise Toner Waste Collection.
Attendance
- Enter emails/ messages on Compass and add Chronicle for all correspondence with parents
- Check suggested changes, email or amend as necessary
- Email daily report ¿ see below
- Call unexplained absences from previous days ¿ Add Chronicle
- Check emergency report at 10.15 and email teacher for clarification if needed
- Check daily events and ensure rolls marked ¿ ring teacher if needed
- Check unmarked classes ¿ email teacher to mark
- SMS will be sent at 10.45am ¿ remember an sms is sent if every period is marked and absence is for all the marked periods so attendance MUST be up to date by 10.44am
- Check emergency report at 1.00pm and email teacher for clarification if needed
- Check attendance note summary report and put any notes of interest as a chronicle on Compass and change p/c unapproved if appropriate
- After 3pm do final Compass check of emergency report ¿ email teacher for clarification or roll marking if needed
- Add chronicles for any suspected truancy or issues
- Check & fix inconsistencies and final suggested changes
- Check attendance note summary report and add chronicles if needed for students with SWC/truancy/refusal/issues
- Liaise with SML¿s in all aspects of Attendance
- Send weekly Friday emails to Year Level Coordinator (YLC¿s) and Prin Team regarding unexplained lates for the week for all year levels.
- Send Fortnightly emails to YLC¿s and Prin Team regarding attendance rate of all the year levels.
- Sign students Arrival/Departure into compass with notes from parents if needed.

Location Profile
Much like the town of Williamstown itself, Williamstown High School is steeped in a rich history. The Yalukit-willam clan of the Kulin nation were the first people to live where our two campuses are situated, and they called it "koort-boork-boork", meaning "She-oak, She-oak, many¿ - a reference to the abundance of She-oak trees across the Hobson¿s Bay municipality. Today, the school maintains a focus on the environment with the Bayview Middle Years (7-9) Campus being located on the Port Phillip Bay waterfront, and featuring award-winning and environmentally sustainable building designs. The adjacent Jawbone Marine Sanctuary has also enabled the creation of an engaging and environmentally focused curriculum for students, that reflects the unique surroundings, and is complemented by our Marine Science program. HISTORY Williamstown High School opened as a government high school in 1915 on the Pasco Street site of the original Williamstown Borough Grammar School. The school colours - red, yellow and black - were adopted from the flag of Belgium to draw inspiration from the spirit and resilience shown by the Belgians in World War One, and the anchor in the logo was used to honour the nearby Naval Depot. The school¿s maritime association continued when our motto `Hold Fast¿ - a sailing cry encouraging commitment, determination, loyalty, strength and courage, won out over ¿Don¿t Drift¿. Today, the school caters for more than 1480 students from years 7 to 12 on two campuses that are a ten-minute walk apart.
The Bayview Street Middle Years
Campus is built on the site of the former Point Gellibrand Girls¿ Secondary College which it merged with in 2000.
The Pasco Street Later Years
Campus is housed in several heritage buildings, including the original 1867 Williamstown Borough Grammar School block. Centenary celebrations and strong community support has delivered a state-of-the-art 300 seat theatre to the campus, completing Stage One of the Performing Arts Centre of Excellence facilities.
OUR UNIQUE OFFERINGS In addition to co-educational home groups, the school offers a Select Entry Accelerated Learning program, an International Students¿ program and a dynamic and growing STEM/STEAM culture where our students engage in Robotics and other technologies that are fast-becoming essential areas of need and development as the twenty-first century progresses. We also offer an Accelerated Sports program which includes triathlon, netball, soccer, basketball, cricket and lacrosse.
