SCHADS Level 3 | $80,020 - $85,797 per annum + Superannuation + Salary Packaging Benefits

We're seeking a highly organised and proactive Administration Officer to join our South West Queensland and North West NSW team, based in Toowoomba.

Supporting the Clinical Services Manager and three Team Leaders, you'll play an important role in keeping a diverse range of alcohol and other drug, mental health, and aged care programs operating smoothly across the region. This is a varied and rewarding position for someone who enjoys working in a busy workplace, managing competing priorities, and providing exceptional administrative support.

This role is full-time, onsite, Monday to Friday (8:30am - 4:30pm), and is offered on a fixed-term basis until 30 June 2027. Subject to future funding arrangements, there may be an opportunity for the position to become ongoing.

Key Responsibilities

- Provide high-quality administrative support to the Clinical Services Manager and Team Leaders.
- Coordinate meetings, calendars, appointments and room bookings.
- Prepare agendas, take minutes and distribute meeting documentation.
- Maintain accurate records, databases and filing systems.
- Assist with reporting, correspondence and compliance-related administration.
- Support communication and information management across the service.
- Respond professionally to enquiries from staff and external stakeholders.
- Provide professional and welcoming front-of-house support to clients, visitors and stakeholders attending the office.
- Contribute to the continuous improvement of administrative systems and processes.

What We're Looking For To be successful in this role, you will have:

- Administration, project support or office coordination experience.
- Demonstrated ability to quickly learn and confidently use multiple systems, databases and technologies,



with the capacity to adapt to new processes and become productive with minimal supervision.
- Experience supporting multiple managers or teams.
- Strong diary management, meeting coordination and minute-taking skills.
- Experience maintaining confidential information, records and databases.
- Strong written, verbal and interpersonal communication skills.
- A professional, friendly and client-focused approach, with confidence engaging with people from diverse backgrounds.
- The ability to manage competing priorities, work autonomously and show initiative.
- A proactive approach to problem-solving and delivering quality outcomes.

Highly Regarded

- Experience working in health, community services, mental health, alcohol and other drug services, disability, aged care or not-for-profit settings.
- Qualifications in Business Administration or a related discipline.
