About the Role

As our Functions Coordinator, you'll be the driving force behind every event, ensuring a seamless experience from the first enquiry through to the final farewell.

You'll work closely with clients, suppliers, management, kitchen, bar and operational teams to deliver exceptional experiences that exceed expectations.

What You'll Be Doing

Event Planning & Coordination

- Managing function enquiries, site inspections and client consultations
- Preparing quotes, contracts and event confirmations
- Creating detailed run sheets and function briefs
- Coordinating event logistics including room setups, AV requirements, décor and staffing
- Acting as the key point of contact for clients before, during and after events
- Ensuring every function runs smoothly and professionally




- Supporting service recovery and post-event feedback processes

Operations & Team Coordination

- Working closely with the Venue Manager, Head Chef and Group Operations Manager
- Coordinating event staff during setup, service and pack down
- Ensuring compliance with RSA, food safety and WHS requirements
- Leading by example and maintaining exceptional service standards

Administration & Financial Management

- Managing bookings, contracts and event records
- Coordinating invoicing, payments and reconciliations
- Monitoring event profitability and budgets
- Assisting with promotional campaigns and function marketing initiatives

What You'll Bring

Essential Requirements

- Current RSA Certificate
- Food Safety Certificate
- Current First Aid Certificate
- Blue Card
- Certificate IV in Hospitality, Events, or a related field
- Minimum 2 years' experience in event or function coordination
- Previous leadership or supervisory experience

Bonus Points For

- Experience in a club, hospitality or events environment
- Experience with event booking system experience
- Budgeting and event profitability experience
- Knowledge of community engagement and membership-based organisations
