CareVicinity is a fast-growing online marketplace connecting independent support workers with people seeking care at home. As we grow, we’re investing in AI tools and automation to reduce admin, simplify day-to-day work and give our teams more time to support our clients and workers.
The role: Executive Assistant | Business & Operations Support
We’re looking for someone to support two executives: the owner of a family run business, and the CEO of CareVicinity, across multiple businesses and family interests, with the opportunity to learn, take on more responsibility and grow into operations management.
What you'll own:
- The days. Both calendars, inboxes, travel and follow-ups, so nothing either of them commits to gets dropped.
- The numbers. Entries and reconciliations across the family's entities, with our CFO reviewing your work and closing the month. You'll be close enough to the life around the transactions to know what each one is.
- The office. Everything where business and life overlap: property, insurance, renewals, suppliers, the household.
- The projects. Take a stream's work and run it end to end, holding several competing priorities at once.
- The tools. Learn new systems and use spreadsheets, automation and AI tools to make everyday tasks easier and more efficient.
You don’t need previous experience in diary management or bookkeeping - we’ll provide training. We’re looking for someone organised, open to feedback and quick to learn.
What you'll need:
- The right to work in Australia.
- A driver's licence and a car you can use for work.
- At least one year in a full-time role where you were trusted to manage and own simular responsibilities.
Why this role? You'll sit beside the people running the businesses and learn how they're run by being in the room. The seat is built as a stepping stone toward operations management. We do things a little differently here, so time in a similar seat matters less to us than what you can pick up.
Our hiring process:
Our hiring process has four stages for this role: a 15-minute introductory call, a 45–60-minute interview with both executives, a short reasoning assessment and a few written questions to complete in your own time, followed by a final conversation with the CFO. All stages are recorded, and we’ll explain what we’re assessing before each one.
