About the role The Finance Operations & Procurement Manager is responsible for overseeing the company’s day-to-day finance operations, project commercial management and procurement activities. The role ensures that projects are accurately estimated, appropriately approved, delivered within budget and invoiced in accordance with client and business requirements.
The position also leads procurement governance, vendor management, accounts payable and receivable, cash management, financial reporting and audit compliance. Working closely with Production, Client Service and other departments, the role supports solid commercial discipline, efficient resource utilisation and the achievement of the company’s financial objectives while maintaining strong relationships with client, vendors and HQ/RHQ.
Key Responsibilities
- Manage accounts payable, accounts receivable, payment runs, bank reconciliations, expense administration and cash-flow forecasting.
- Ensure project revenue is achieved and accurately recorded in the correct reporting period and supported by approved estimates, client approval and time report input.
- Oversee client invoicing and ensure invoices are supported by required evidence, including approved estimates, purchase orders, scopes of work, proof of delivery and other relevant documentation.
- Manage Account Receivable and payable that are related to project
- Monitor overdue accounts and resolve disputed or rejected invoices with internal stakeholders and client Finance or Procurement teams.
- Support annual budgeting, forecasting, month-end closing and year-end financial processes.
- Prepare accurate and timely financial and management reports for regional and global HQ.
- Assist with annual external audits, internal audits and HQ reviews by preparing schedules, reconciliations and supporting documentation.
- Manage the financial aspects of campaigns and projects from initial estimate through to delivery, invoicing, reconciliation and closure.
- Review project estimates, scopes, production budgets, third-party costs, agency fees and margins to ensure commercial accuracy and appropriate approval.
- Manage and guide procurement activities, including supplier sourcing, competitive quotations, vendor selection, commercial negotiation and purchase-order compliance.
- Coordinate annual client bidding, tender, rate-card and commercial review processes, including the preparation of pricing submissions and supporting information.
- Maintain effective financial and procurement policies, procedures and internal controls.
- Ensure compliance with applicable legislation, accounting requirements, agency policies, client contracts and vendor agreements.
- Provide commercial and financial guidance to senior leadership and agency teams to improve cost control, operational efficiency and project profitability.
Qualifications and Experience
- Minimum of 5 years’ experience as a Finance or procurement manager, Team Lead or similar role
- A Bachelor's degree in accounting, finance, or a related field
- Strong knowledge of accounting and financial principles, with experience in AP/AR & Vendor Management.
- Advanced systems skills, with experience in implementing and managing financial reporting systems.
- Excellent communication and interpersonal skills, with the ability to build solid relationships with stakeholders at all levels of the business.
