Job Objective:

The Inventory Controller is responsible for maintaining accurate inventory records and supporting the effective control, availability and movement of stock across CAPS Australia. The role manages inventory transactions, cycle counts, stock variances, replenishments, transfers and reporting to ensure system records accurately reflect physical stock and inventory is positioned to support operational and customer requirements.

Duties and Responsibilities:

· Maintain accurate inventory records, stock statuses, warehouse locations and bin locations in Pronto.

· Plan and coordinate the cycle-count program and support scheduled stocktakes across warehouses and branches.

· Investigate stock variances, identify root causes and coordinate timely corrective actions.

· Review and control inventory adjustments, transfers, receipts, issues and returns in accordance with approved procedures and delegated authority.

· Monitor negative stock, unallocated stock, receipting errors and other inventory exceptions and ensure they are resolved promptly.

· Manage quarantine, damaged, non-conforming, obsolete and excess stock records and coordinate their appropriate disposition.

· Maintain inventory master data and support the accuracy of item, location, unit-of-measure and stocking information.

· Retain appropriate supporting records and maintain an audit trail for inventory transactions and adjustments.

· Review minimum and maximum stock levels, reorder settings and replenishment parameters in consultation with relevant stakeholders.

· Monitor stock availability, shortages, backorders and excess or slow-moving inventory and recommend corrective actions.

· Coordinate inter-branch and warehouse stock transfers to support demand and improve stock utilisation.

· Support inventory planning by providing accurate stock information, usage data and exception reporting.

· Assist with the reduction of aged, obsolete and surplus inventory.





· Work with warehouse personnel to ensure all receipts, picks, returns, transfers and dispatches are processed accurately and on time.

· Support effective warehouse layout, stock identification, bin discipline and location control.

· Assist branch store personnel with inventory queries, stock transfers, order issues and stock-level reviews.

· Provide guidance and training to employees on inventory procedures and correct Pronto transactions.

· Coordinate the investigation and resolution of supplier, freight and customer-related inventory discrepancies.

· Prepare and maintain inventory reports covering accuracy, cycle counts, adjustments, variances, ageing, stock availability and other agreed measures.

· Identify recurring process failures and work with the Inventory and Warehouse Manager to implement corrective and preventive actions.

· Support continuous-improvement initiatives in Pronto and warehouse processes to increase automation, visibility and efficiency.

· Develop, document and maintain inventory procedures, work instructions and control standards.

· Participate in audits and provide inventory records and supporting evidence when required.

· Perform other reasonable duties as directed by the Managers.

Qualifications, Experience, Knowledge, Skills and Abilities:

· Previous experience in inventory control, warehousing, supply chain or a similar operational role.

· Experience using an ERP or inventory-management system; Pronto experience is preferred.

· Solid numerical, analytical and problem-solving skills with a high level of attention to detail.

· Sound understanding of inventory transactions, cycle counting, stocktakes, replenishment and warehouse controls.

· Proficiency in Microsoft Excel and other Microsoft Office applications.

· Strong communication, organisation and stakeholder-management skills.

· Ability to investigate issues, identify root causes and follow actions through to completion.

· Ability to work independently, manage competing priorities and meet reporting deadlines.
