Perth Healthcare Centre is looking for an experienced, highly capable and motivated Medical Receptionist & Administrative Coordinator to join our team in a part-time or full time role across our East Perth and West Perth clinics.

This is not simply a front desk position.

We are looking for someone who can confidently manage a busy healthcare reception environment while also taking responsibility for additional administrative and operational tasks delegated by our management team and Clinic Director.

Our clinics are busy, fast-moving and held to a high standard. The right person will enjoy that environment.

About Perth Healthcare Centre

Perth Healthcare Centre is a multidisciplinary healthcare group operating across East Perth and West Perth, bringing together practitioners from a wide range of healthcare disciplines.

What we have built is based heavily around collaboration, community and creating an environment people genuinely want to be part of.

We don't see our clinics as simply rooms where individual practitioners happen to work under the same roof. We want our practitioners, administration team and management to know each other, communicate and work together. They are often the first and last interaction someone has with PHC. We expect our front desk to feel warm, organised and professional. Patients should be acknowledged and looked after, practitioners should feel supported, and the clinics themselves should always feel cared for.

The Role

Your responsibilities will include

- Managing a busy healthcare reception and providing a high standard of patient service

- Answering and managing phone, email and patient enquiries

- Booking and coordinating appointments across multiple practitioners and disciplines

- Processing payments, Medicare, DVA, insurance and other healthcare administration

- Managing referrals, correspondence and patient documentation

- Supporting practitioners with day-to-day administrative requirements





- Completing additional administrative and operational tasks for the General Manager and Clinic Director

- Following up delegated tasks promptly and taking ownership of them through to completion

- Assisting with the organisation and day-to-day operation of both clinics

- Identifying issues and dealing with them proactively rather than waiting to be asked

- Working closely with our Assistant Manager and broader administration team

You will regularly be given multiple priorities and will need to organise yourself, follow instructions accurately and get things done without requiring constant supervision or follow-up.

- Take instruction well and act on it promptly

- Communicate clearly and professionally

- Take responsibility for mistakes and correct them

- Complete tasks rather than leaving them for somebody else

- Support each other and contribute to the clinic as a whole

- Maintain consistent standards regardless of who is supervising

We don't expect perfection. We do expect effort, accountability, consistency and a willingness to learn.

About You

Ideally, you will have:

- Previous medical, healthcare or allied health reception experience

- Strong general administration experience

- Excellent organisation and time-management skills

- Confidence working in a busy, fast-paced environment with competing priorities

- Strong written and verbal communication

- Good computer skills and the ability to learn systems quickly
- The maturity to use initiative and good judgement
- The ability to receive feedback constructively and implement it




- A professional but warm approach with patients and practitioners

Experience with Cliniko or similar practice-management software will be highly regarded.

Most importantly, we are looking for someone who takes pride in doing their job properly.

Hours

This is a part-time position with the following core roster:

- Tuesday: 10:00am – 6:00pm

- Wednesday: 7:40am – 4:00pm

- Thursday: 10:00am – 6:00pm

- Friday: 10:00am – 6:00pm

There is a strong likelihood that this role will increase to include Mondays in the near future, so applicants with flexibility to accommodate this will be highly regarded The position will work across our East Perth and West Perth clinics, so flexibility between locations is required.
