Part-time Meetings & Conference Coordinator | The Hub Function Centre

Join One of WA’s Leading Corporate Event Venues Located in Bentley Technology Park, The Hub Function Centre provides skilled meeting, conference and training facilities south of the Perth CBD. With seven versatile spaces, we deliver seamless and stress-free experiences for a wide range of corporate and private clients.

We are currently seeking an experienced and highly organised Meetings & Conference Coordinator to join our onsite team and play a key role in coordinating venue bookings and supporting the successful delivery of meetings, conferences, training sessions and other functions.

About the Role

Reporting to the Venue Manager, this hands-on role is ideal for someone who thrives in a busy setting and enjoys balancing client service, booking administration, meeting and conference support, and day-to-day venue operations.

The role will coordinate bookings from initial enquiry through to completion, including client liaison, room preparation, audio-visual assistance and on-the-day support. It will also assist the Venue Manager with invoicing, financial administration, marketing activities and other operational requirements.

This permanent part-time role offers 20 guaranteed hours per week, worked Monday to Friday under an agreed rotating roster. Regular shifts will be either 7.30am to 11.30am or 1.30pm to 5.30pm.

Applicants must be available to work either shift and have the flexibility to accommodate occasional agreed changes to the roster, including later shifts for evening bookings. Additional hours may also be available according to venue requirements.





Key Responsibilities

- Coordinate and support the delivery of corporate meetings, conferences, training sessions and private functions
- Assist in converting venue enquiries into confirmed bookings
- Build strong relationships with new and returning clients
- Conduct venue tours for prospective clients
- Prepare detailed booking documentation and ensure all client requirements are actioned
- Respond promptly to enquiries and booking requests
- Coordinate catering, room set-up, cleaning and maintenance requirements
- Set up, test and troubleshoot AV and conferencing equipment prior to bookings
- Oversee room presentation, set-up and pack-down
- Provide professional front-of-house and client support during meetings, conferences and functions
- Assist with invoicing, deposit requests, account queries and arrears management
- Support content creation and venue marketing initiatives
- Work collaboratively with the café operator, tenants, contractors and Property Management team
- Collect and review client feedback to support continuous improvement

About You To succeed in this role, you will bring:

- Previous experience in meeting and conference coordination, venue operations, corporate hospitality or a similar client-facing environment




- Strong customer service and relationship management skills
- Exceptional organisational and forward-planning skills, with strong attention to detail
- The ability to multitask and remain calm under pressure
- Excellent written and verbal communication skills
- A proactive, adaptable and solutions-focused approach
- Confidence supporting presentations, conferencing systems and AV equipment
- Confidence working independently and within a team environment
- Proficiency in Microsoft Office, including Word, Excel and Outlook
- Experience with Function Tracker, Canva or similar platforms will be highly regarded
- A current First Aid Certificate or willingness to obtain prior to commencement
- Experience supporting event delivery and coordinating staff during events
- An understanding of invoicing and general financial administration
- Exposure to event sales, marketing and promotional activities
