About the role

We are seeking a skilled and organised Office Administrator / Executive Assistant to join our team at our Greenbushes, Western Australia facility. This is a full-time position based in office in Greenbushes WA 6254.

Reporting to the Site Senior Executive (SSE), you will play a crucial role in ensuring the smooth and efficient operation of our office environment. This position bridges administrative support and executive assistance, providing essential coordination of numerous aspects of the business whilst supporting the SSE on a daily basis.

What you'll be doing

- Providing comprehensive administrative support to the SSE, including diary management document preparation and general administrative support

- Managing executive calendars and scheduling meetings, ensuring optimal coordination with internal and external stakeholders





- Handling and prioritising incoming and outgoing correspondence, telephone enquiries, reception and email management

- Preparing and maintaining meeting agendas, taking minutes and distributing documentation to relevant parties

- Coordinating office operations, including managing supplies, equipment and facilities.

- Maintaining accurate and organised filing systems, both physical and digital including document quality management.

- Acting as a point of contact for contractors and visitors, ensuring contractors have all the required inductions, insurances and compliance needs before they attend site (by managing an electronic contractor management system).

- Supporting ISO 19001 accreditation (including conducting on site audits).

- Potentially overseeing an administration trainee in the coming months (once established in the role)

What we're looking for

- Proven experience in an office administration or executive assistant role, ideally within a mining, resources or industrial environment

- Ideally a qualification in internal audit or quality systems (or willingness to obtain whilst employed)

- Excellent organisational and time management skills with the ability to manage multiple priorities and deadlines effectively





- Strong written and verbal communication skills with proficiency in professional correspondence

- Proficiency with Microsoft Office Suite (with a very high proficiency in excel) and experience with office management software systems

- Demonstrated ability to work independently and as part of a team, showing initiative and problem-solving capability

- Strong interpersonal skills with the ability to maintain confidentiality and handle sensitive information professionally

- Attention to detail and commitment to accuracy in all administrative tasks

- Confidentiality.

- A proactive approach to identifying and implementing process improvements
