About the role The Office Co-ordinator supports the delivery of responsive and culturally respectful services to Aboriginal families by ensuring that people, information, schedules, and resources are effectively coordinated. The role requires a highly organised and proactive individual who can strengthen day-to-day service delivery in a busy environment.
Working closely with the Executive Manager and administration team, the Office Co-ordinator provides practical coordination and administrative support to enable effective client service delivery. The role anticipates team requirements, organises workflows, maintains accurate information, and assists in resolving day-to-day operational matters.
Key responsibilities
- Coordinate schedules, bookings, and team workflows to support the effective delivery of services
- Maintain accurate, current, and accessible client and program records
- Prepare agendas, minutes, correspondence, reports, and service-delivery updates
- Coordinate staff and client onboarding, referrals, and routine program administration
- Monitor shared inboxes, coordinate responses, and follow up outstanding actions
- Identify administrative barriers and contribute to improvements in systems, processes, and service delivery
About you
- Demonstrated experience in an administration or coordination role, preferably within a community services environment
- Highly developed organisational, prioritisation, and follow-through skills
- Strong written and verbal communication skills, with the ability to build effective working relationships across a team
- A high level of accuracy in documentation, data entry, record-keeping, and reporting
- A collaborative and service-focused approach, with a demonstrated commitment to supporting others
- An understanding of, or willingness to develop knowledge of, culturally safe practices
- Experience supporting Traditional Owner groups, Aboriginal families, or other community stakeholders (desirable)
- Experience contributing to continuous improvement in administrative systems and service-delivery processes (desirable)
- Knowledge of culturally respectful engagement and service-delivery practices (desirable)
