Office Manager
Counsel’s Chambers Limited | Sydney CBD | Full time, on-site
Counsel’s Chambers Limited (CCL) is looking for an experienced and capable Office Manager to join our team in the heart of Sydney’s legal precinct.
This is a broad, hands-on role suited to someone who enjoys being at the centre of an organisation, keeping the office running smoothly, assisting colleagues and clients, coordinating a wide range of administrative activities and taking ownership of the many day-to-day tasks that keep a business operating effectively.
We are a close-knit and supportive team, and this role offers the opportunity to work collaboratively across a varied range of responsibilities while contributing to the smooth running of the organisation.
About CCL
Established in 1952, CCL provides accommodation, facilities and services to members of the NSW Bar.
CCL owns and operates Wentworth Chambers, Selborne Chambers, Windeyer Chambers and Lockhart Chambers in Sydney’s CBD legal precinct. Across these buildings are more than 500 barristers, barristers’ clerks and support staff, as well as the NSW Bar Association.
Our close-knit team work closely together and often contribute across different areas of the business.
We manage and support our buildings, provide technology and network services, coordinate facilities and maintenance services, administer services for our Members, and manage the NSW Bar Dispute Resolution Centre.
About the role
This is a full-time, office-based position in Sydney CBD, with standard hours of 8:30am to 5:00pm, Monday to Friday.
The Office Manager is an important member of our team and one of the first points of contact for CCL and the NSW Bar Dispute Resolution Centre.
The role reports to the Company Accountant and works closely with our Executive and the broader CCL team.
This is a varied position rather than a narrowly defined administrative role.
Responsibilities will include, but are not limited to:
- Managing the day-to-day administration and organisation of the CCL office, including reception, telephone enquiries, correspondence, digital filing and record keeping, office supplies and general office coordination.
- Leading accounts payable and assisting with accounts receivable administration, including invoice processing, purchase order matching, creditor payments, customer invoicing, banking, reconciliations and account enquiries.
- Managing bookings and client enquiries for the NSW Bar Dispute Resolution Centre, including booking administration, payments, room allocation and assisting clients before and during their bookings.
- Organising Board, corporate and staff meetings, including scheduling, documentation, meeting preparation and minute taking.
- Providing administrative support to the CEO, General Manager - Operations and other members of the CCL team as required.
- Providing administrative support to the IT team, including project administration, procurement, vendor liaison and maintaining accurate asset and equipment records.
- Managing electronic document execution and assisting with Board reporting and other corporate administration.
- Taking ownership of ad hoc administrative and operational matters as they arise.
For the right person,
the breadth of the role provides an opportunity to become involved in many different parts of the organisation and develop a strong understanding of how CCL operates. Why join CCL?
This is an opportunity to take on a trusted and visible role within a well-established organisation where your contribution will have a genuine impact on the day-to-day running of the business.
You’ll have the autonomy to manage your own responsibilities while working closely with our Executive and a small, supportive team. Rather than being confined to one area of administration, you’ll gain exposure to a broad range of business.
For someone who enjoys improving processes and taking ownership, there is also scope to bring your own ideas to the role and help us continually improve how we operate.
Who we're looking for
We are seeking an experienced Office Manager, Senior Administrator, Executive Assistant, Administration Manager, Operations Coordinator or similar professional who is comfortable taking responsibility for a broad range of activities.
You will need to be highly organised, reliable and comfortable moving between priorities throughout the day. Robust written and verbal communication skills are important, as is a professional approach to dealing with clients and confidential information.
Experience in professional services, legal services, accounting, property, facilities, corporate administration or a similar environment would be useful, but is not essential.
Relevant tertiary qualifications in business, management, administration or a related field will be viewed favourably, however substantial relevant professional experience will also be considered.
How to apply To apply, please submit your resume and a brief cover letter outlining your relevant experience and why the role interests you through SEEK.
Please note that only shortlisted candidates will be contacted.
