About the role
We're looking for a capable, hands-on Office Manager to take full ownership of the day-to-day running of our Sydney office.
This is a broad operational role, not a front-desk job. You'll manage the office end to end – facilities, suppliers, procurement, first-line IT, company vehicles and inventory – while providing high-level administrative support to the Managing Director and the wider team. You'll be the person everyone comes to when something needs sorting, and you'll be trusted to sort it.

What you'll be doing
Office management & operations
- Own the efficient day-to-day operation of the office, its procedures and systems
- Coordinate facilities, maintenance, cleaning, repairs, access, keys and security
- Manage office supplies, equipment and general procurement
- Liaise with building management, contractors and external service providers
- Keep the office professional, organised and well presented
Administration & executive support
- Provide high-level administrative and operational support to the Managing Director and management
- Manage correspondence, documentation, filing and company records
- Assist with diary management, meetings, agendas and follow-up actions
- Coordinate domestic and international travel where required
- Support management with ad hoc business and personal administration
Staff & office coordination
- Manage onboarding and offboarding – workplace access, equipment and systems
- Coordinate staff events,
meetings and internal office activities
- Communicate office procedures and help maintain workplace policies
- Work with external HR, payroll and qualified service providers as needed
IT & technology
- Provide first-line IT support – computers, software, printers, phones, internet
- Set up equipment, email and user accounts for new starters
- Maintain the IT equipment register and manage software subscriptions and licences
- Liaise with external IT providers and coordinate repairs, upgrades and purchases
Company vehicles & driving
- Manage the company vehicle fleet – registration, insurance, servicing, maintenance and presentation
- Manage toll accounts, fuel cards and EV charging arrangements
- Maintain vehicle records, usage and expense tracking
- Drive company vehicles when required for errands, collections, deliveries and appointments
Wine inventory & company assets
- Manage and maintain the company's wine inventory – receipts, storage, transfers, labelling and stocktakes
- Coordinate wine deliveries and collections and report on stock levels
- Maintain records for other company assets and equipment
Suppliers, procurement & expenses
- Manage supplier relationships, obtain quotes and coordinate purchases
- Review office invoices and monitor recurring expenses
- Identify opportunities to improve service quality and control costs
About you
- Previous experience in office management, operations, executive support or a similar role
- Highly organised, with strong attention to detail and follow-through
- Able to juggle multiple responsibilities and competing priorities
- Confident working independently and taking ownership of tasks through to resolution
- Strong written and verbal communication skills
- Good working knowledge of Microsoft Office and general business technology
- Comfortable with basic IT troubleshooting and coordinating external IT support
- Experience managing suppliers, facilities, company assets or vehicles is an advantage
- Professional, discreet and able to handle confidential information appropriately
- Current Australian driver's licence – essential
