The Executive Personal Assistant will provide high-level administrative support, ensuring smooth and efficient operations. This role requires discretion, flexibility, and the ability to handle sensitive and confidential information. The ideal candidate will be proactive, organized, and capable of multitasking in a fast-paced environment.
Administrative Support:
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software
- Exceptional organizational and time-management skills.
- Strong written and verbal communication skills.
- Manage and maintain the Principals busy calendar, including scheduling meetings, appointments, and travel arrangements.
- Coordinate logistics for meetings, conferences, and events, both domestically and internationally.
- Taking minutes and creating action lists.
- Meet and greet clients, ensuring a professional and streamlined meeting experience for all parties.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Conduct research, compile data, and prepare reports for review.
- Handle incoming and outgoing communications, including emails, calls, and mail, ensuring prompt and skilled responses.
- Liaise with senior management from all companies to get regular status reports and update the Principal.
- Build and maintain document libraries for all projects / entities.
Personal Assistance:
- Assist with personal tasks and errands as needed, including managing personal schedules, appointments, and travel.
- Coordinate with household staff and manage personal projects and events.
- Handle confidential and sensitive information with discretion.
- Flexibility to work outside regular business hours – 24/7 on call.
- High level of discretion and confidentiality.
Project Management:
- Assist in the planning and execution of special projects and initiatives.
- Track project progress and provide updates to the executive.
- Coordinate with internal and external stakeholders to ensure project timelines are met.
- Ability to work independently and handle multiple tasks simultaneously.
- Liaise with senior project managers to get regular status reports and update the Principal.
Relationship Management:
- Build and maintain relationships with key business contacts, clients, and stakeholders.
- Act as a liaison between the executive and internal/external parties.
- Coordinate and manage communications, ensuring timely and effective follow-up.
Pay: $80,000.00 – $110,000.00 per year
